Vladimir Andreyev: In a year we understood that we work already absolutely at other market

There passed year from our last conversation, and today we argue with Vladimir Andreyev again – the president of DocsVision company - on what changed during this time in the market of electronic document management systems and what answer is given by Docsvision on market changes.

TAdviser: In the Russian EDMS/ECM market you would note Vladimir, what changes for last period?

Vladimir Andreyev: On the one hand, the market for last year was not shaken by any revolutionary changes: there were no new players, there were no fundamental shifts in demand and the offer. On the other hand, for this year we understood that we work already absolutely at other market. First of all, it is connected with saturation of primary need for electronic document management systems among traditional consumers. If to look in general on the industry, then the number of new projects for the first time began to be inferior to the projects connected with expansion of scale and functionality of EDMS and projects of transitions from one system on another. Thus, not saturation of a number of basic requirements, but increase in efficiency of already implemented systems became the main objective today. At the same time new consumers of EDMS come, as a rule, with absolutely other tasks different from what we traditionally understood as functionality of EDMS.

TAdviser: And what it is requirements?

Vladimir Andreyev: First of all, automation of the different business processes connected with document handling and other information. Here it is possible to select two types of tasks: automation of different aspects of contract activities and task which have pronounced industry character. If before EDMS automated generally problems of the general administration management fixed in practicians of documentary ensuring management, then in recent years focus was displaced to automation of contractual document flow (which, it is necessary to tell, has much more specifics for the specific organization and therefore requires much more flexible instruments of automation). Our platform is just focused on implementations for automation of this sort of specific processes.

A bigger variety of functions is required at process automation with industry specifics. Here several examples of projects in which specific processes for the different industries were automated:

  • Construction: management of design documentation, process of formation of the project plan, preparation of estimates.
  • Banking sector: management of personal files of users, process of currency exchange control, process of issuance of credit to small enterprises.
  • Finance: management of depository accounts of users.
  • Power: process control of connection of capacities.
  • Retail: account management invoices and delivery notes.
  • Public administration: management of course of execution of federal programs, control of the course of projects, accounting of a citizens' appeal.

In this list of the implemented projects there is also a number of processes which have no pronounced industry specifics, but overstep far the bounds of traditional problems of EDMS (management of powers of attorney, automation of tasks of claim and claim work, management of meetings, etc.) All these processes, though lie in very different data domains, are based on the basis of the general basic mechanisms offered modern to EDMS: documents and electronic forms, processes and tasks, group data views. The electronic document management system becomes the adequate tool for automation of these tasks. Exactly recently focus of attention of our customers is displaced from tasks of ORD and preschool educational institution to problems of automation of business in its different manifestations.

TAdviser: What do you offer in response to the need for increase in efficiency of EDMS?

Vladimir Andreyev: The main lever of increase in efficiency of use of EDMS consists in expansion of the nomenclature of the automated tasks based on a single platform. Since implementation of some one or several processes based on the EDMS platform, customers, having got experience of implementation and qualification in its use, can independently or with involvement of partners "close" using a system and other tasks, hitherto not automated. Use of the general platform gives a huge prize in comparison with "piecewise" automation where each circuit is automated using different applications. The prize provides both concentration of competence, and convenience of administration/support of applications, economy of computing powers here. But the most important - in convenience of the user, he, having studied work in one application, without effort studies to use all new and new applications within a single system in the usual interface. As we know, one of key problems at system implementation – overcoming resistance of personnel to implementation of new processes and technologies. So it is about classical option of increase in efficiency: economy at a scale in complex option.

TAdviser: What else perspective directions of development of systems based on EDMS do you see?

Vladimir Andreyev: Now there is a reconsideration of how it is necessary to automate tasks of management in the organizations. First of all, it is about the following aspects: automation of tasks of situational management, search of the simplified techniques of support of process and project management, increase in a role of informal communications and, so-called, group work in management process with combination in uniform tools of problems of corporate management and means of increase in personal productivity. At the expense of rich tools of modern EDMS it becomes the basis for search of the solution of these problems. We rather actively react to these requirements and constantly we prepare new features of a system for the solution of these tasks. In particular, in the nearest future we will release absolutely new module which implements the Adaptive Case Management functions based on Docsvision 5, and some other the innovations answering these calls.

Other major and extremely perspective trend in market development of EDMS is a transition to paperless legally significant document flow. He promises us huge benefits and increase in efficiency of corporate business processes. And, though the final demand has so far rather limited character, and customers extremely carefully approach this transition, in our platform there are all necessary tools for implementation of similar projects. Already now we have several examples of implementation of similar tasks.

TAdviser: What, in your opinion, main perspectives of further market development of EDMS?

Vladimir Andreyev: In addition to the listed trends, in the near future (owing to common problems in economic country situation) the increasing role will be had by implementations on a basis if not finished shrink-wrapped software products based on platforms (in our industry it is not always possible), then on the basis of already available successful project the practician and ready components of solutions. Instruments of "fast customization" which are focused on creating applications by less qualified engineers will be more and more demanded. An important role will also be played by initiatives of the state within "the road map on transition to paperless document flow". Perhaps, it will demand entering of significant changes into the products presented now at the market.

A part will be played in the nearest future by an import substitution perspective which will a little strengthen positions of the domestic systems. Generally, we are waited by interesting events in which, I hope, we will be active participants.
