The institute of development of education of the Irkutsk region implements EDMS

The RKIT Group company completed the project of control automation by processes and documents in Regional public autonomous educational institution "Institute of Development of Education of the Irkutsk Region" (OGAOU DPO IRO).

Objectives

When choosing an electronic document management system, the accent was put by the management of institute on broad functionality of a system in terms of development perspectives. The great value was attached also to experience of an implementation team at the solution of tasks, uncommon for classical understanding of EDMS.

The main focus in the project was placed on automation of the Internal audit procedure of a quality management system of Institute as first stage for automation of all of SMK. Internal audit – important process which provides heads with necessary information on efficiency of SMK allows to detect and correct timely arising problems. Within the project in the DocsVision system the possibility of creation of the annual plan of internal audits is implemented, the document templates participating in process are created. Step-by-step control of execution of audit is in real time exercised. The summary report with information on the checked divisions, amount of the revealed discrepancies and the status of corrective actions with indication of the non-performance reasons at their existence forms.

Result

Thanks to the created solution the transparency of processes increased, time of passing of procedures is reduced. Heads of institute received convenient tools for control of execution of instructions, management of load with employees.

At the moment in a system clerks – managing directors on SMK, heads of faculties and other divisions of Institute work.
