The first MGMU of I.M. Sechenov conducts acceptance of entrants using "AVROBUS: Reception"

The expert center on work with educational institutions of 1C: Accounting and Trade company (BIT) completed automation of work of selection committee in I.M. Sechenov First Moscow State Medical University. Using a system on the 1C:Enterprise 8 platform (the specialized solution "BIT: Selection committee", certified on "1C: Compatible!") the full stroke of work of selection committee of university is automated. Documents acceptance accelerated, it is provided both the daily, and final reporting on the course of a receiving campaign. A system is put into operation in only 3 days and already used for acceptance of entrants of 2011.

The I.M. Sechenov First Moscow State Medical University of the Ministry of Health and Social Development of the Russian Federation (the First MGMU) is a large educational and scientific complex on preparation, retraining, certification and advanced training of the medical and pharmaceutical personnel. The structure of the university includes 14 faculties, 7 research institutes, research center, Clinical center. More than 1700 people participate in educational process of the university, in university more than 10000 students study. The quality system of the university is certified in ISO 9001:2008.

On receipt in the First MGMU big tender (in some directions up to 100 people into place), annually more than 10 thousand entrants file documents to university. Processing of such information volume is manually extremely labor-consuming with respect thereto the decision on implementation of an automated system was made. The university needed to increase efficiency of selection committee and to quickly control acceptance of entrants. The project was charged to Expert center on work with educational institutions of 1S:BIT company.

Sechenov First Moscow State Medical University: "It was required to automate a full stroke of work of selection committee of university in enough short time: provide data recording of entrants in a single system, accounting of results of the USE and entrance tests of university, formation of lists to transfer and also the reporting according to the results of work of selection committee. We addressed to Expert center on work with educational institutions of 1S:BIT company as it has long-term experience with universities, positive recommendations and offers specialized developments on the modern platform "1C:Enterprise 8" for educational institutions. Specialists of BIT quickly resolved all organizational issues and professionally observed the project in extremely short time".

It was decided to implement the project based on the program "BIT: Selection committee", having the certificate "1C: Compatible!", as it corresponds to assigned tasks and can be put into operation in short terms. The product is developed on the 1C: Enterprise 8.2 platform which has the built-in means of protecting of personal data and if necessary allows to increase quantity of the automated jobs without difficulties.

A system was brought into operation within 3 days, 23 jobs are automated. Now the final adaptation of a system to specifics of work of selection committee of university directed to acceleration and simplification of data entry, automation of verification of the entered data came to the end. Reception of applications of entrants of 2011 was carried out using a new system.

The following tasks are automated:

• registration of biographical particulars and statements of entrants;
• formation of a necessary document package for the entrant;
• accounting of results of the unified state examination (USE), check of results of the USE on the website of Federal base of certificates (fbsege.ru);
• the approval of the list of disciplines on which entrance examinations, for each competitive group are taken;
• formation of lists of the recommended for transfer based on the USE and entrance tests taking into account presence at the entrant of privileges at entering a higher education institution;
• reporting for data analysis about entrants, the submitted applications and results of entrance tests taking into account faculties, specialties, forms of education, types of financing, etc.

Project Results:

• Control of a receiving campaign became simpler, the resulting information on arriving is generated in real time. Upon completion of every day of acceptance the report on the number of the entrants who submitted documents for entering a higher education institution forms.
• Documents acceptance accelerated: filling of fields of the statement is most automated.
• Formation of lists to transfer taking into account results of the USE, entrance tests of university and also different advantages is automated (for example, privileges, results of the Olympic Games, etc.)
• Complete analytical information about results of a receiving campaign is available (the contingent of entrants, quantity the arriving in comparison with last years, most demanded specialties). Also a system creates reports on entrants and results of acceptance on the forms regulated by the legislation (76-CD, etc.)

§ The complete information about entrants is stored in the single database (privileges, results of the USE and Olympic Games, assessment for entrance examinations, basic education, etc.)
