The 1C: Accounting and Trade company (BIT) completed automation of Astrum management company. Program "1C: Management of corporate finances" became for the enterprise the effective instrument of budget planning and distribution of financial resources. Now service of shopping complexes is financed without delays, means for carrying out planned repair work, service of the areas and parking zones are timely charged. The regular plan-fact analysis allowed to reveal and remove the overexpenditure causes. On average housekeeping overheads of shopping centers were reduced by 30%.

The Astrum management company was founded in 2009 for implementation of large projects in the field of a commercial real estate. The field of activity of UK "Astrum" includes the management of the trade and leisure park, house of household services, trade and warehouse base, two hotels and restaurant. But the main direction of business is a development of trade and service complexes. Objects of the company took the worthy place among the most noticeable and successful developer projects of the Uralo-Povolzhsky region. Astrum is the owner of 7 complexes in the Republic of Bashkortostan – in the cities of Sibay, Sterlitamak, Salavat, October, Beloretsk, Tuymazy and the settlement Red Bashkiria.

High-quality service of shopping complexes surely includes planned repair work, arrangement of adjacent territories and parking zones, timely wet cleaning of the internal areas of the center, carrying out minor repair of all networks and the systems of utilities and many other things. The efficiency of accomplishment of the specified tasks is provided with timely financing of objects, so, the management company should carry out effectively budgeting, the accounting and the analysis of financial flows both on group in general, and on each separate division.

Earlier account in each of shopping centers of Astrum company was kept separately. Information on a budget expenditure and unplanned costs was fixed in divisions using spreadsheets. Because of the large volume of data employees made mistakes in calculations. Detailing under the articles was not. The budget formed on the basis of aggregated data on costs for a previous period. Sometimes it led to insufficient financing of service works in objects.

High-quality service of the shopping complex directly influences comfort of buyers and, respectively, their quantity. And the number of clients, in turn, defines success and solvency of tenants. Taking into account plans of Astrum company for development of shopping complexes in several regions of Bashkortostan the management made the decision on creation of a modern information system for management of financing of objects.

The 1C: Accounting and Trade company (BIT) having experience of successful projects implementation on implementation of modern budgeting systems became the partner in automation. For solving of tasks of the customer the software product "was selected by 1C: Management of corporate finances". The standard functionality of an information system allows to execute the main operations on distribution and the cash accounting both by separate divisions and objects, and on the company in general.

In a work progress the following business challenges were automated:

  • budget planning and control;
  • traffic control of money;
  • process management of performance of agreements;
  • formation of the regulated reporting.

Specialists of BIT configured data exchange between the systems of shopping centers and head office. In a project deliverable the management and financial service of the company had an opportunity:

  • Plan housekeeping overheads of the enterprises for different articles;
  • Make the decisions on distribution of money based on complete and reliable information about a financial position of shopping centers and other objects of the organization;
  • Make master budgets of the company (the income and expenditure budget, the budget of cash flow, balance estimation, etc.);
  • Control compliance of current plans of a funds expenditure to the working plan for the period and analyze execution of budget requests;
  • Control compliance of actual data to the set target indicators;
  • Carry out the analysis of the reasons of rejections of actual data from planned.

The exact expense information of shopping centers which is timely coming to parent organization allowed financial service to estimate and optimize costs. In particular, costs planning on finishing works and a renovation is carried out. The regular plan-fact analysis allows to reveal and remove the overexpenditure causes. So, it was revealed that on some positions of repair materials the price of purchase is rather high, and other suppliers were selected. On average housekeeping overheads of shopping centers were reduced by 30%.
