The Aplana company began the project on migration with the second version of an electronic document management system BOSS-Referent on the third in Rosneft subsidiary company – Sakhalinmorneftegaz. A main goal of transition to the new version - expansion of functionality of a system regarding automation and reconfiguration of quickly changing business processes.
Sakhalinmorneftegaz — one of the oldest oil-producing enterprises of Russia. In 2006 indicators of the production provided with Sakhalinmorneftegaz made 1.9 million tons of crude oil and 1.1 billion cubic meters of natural and associated gas. In comparison with 2005 the volume of oil production grew by 1.7%. 80% of the extracted oil were exported.
The Sakhalinmorneftegaz company supports high international standards of corporate management and in it one of leading roles is played by permanent development of IT infrastructure. In 2000 based on EDMS BOSS-Referent in Sakhalinmorneftegaz the unified information system of the enterprise on 250 jobs which integrated divisions of the company in Okh, Noglikakh and Yuzhno-Sakhalinsk was created. Implementation of EDMS BOSS-Referent allowed the company to organize own management system at the new level. A common information space was created and relation between divisions is established. At the enterprise all-corporate e-mail was implemented, the system of normative and help databases on different data domains is created, work of office, work with memos and instructions is automated. As a result of implementation time for creation, processing, replication, storage and search of internal and external documents in all functional divisions united in the unified information system decreased. The company management had an opportunity more effectively to control activity of each employee and to analyze statistics of his work.
"For the entire period of work of EDMS BOSS-Referent fulfilled without notes", - the assistant department head of automation of Sakhalinmorneftegaz, Mikhail Yuryevich Rybkin says. "But currently the second version of a system became outdated. There were new requirements to business, the structure of the enterprise exchanged, additional functions in business management appeared. Therefore the decision on transition to the new version of a system which conforms to modern requirements of development of production was made".
Were determined by main goals of the project:
- Expansion of functionality of approval of documents using means of workflow which will provide the organization of difficult processes of approval of documents, including transitions under the terms.
- Implementation of the flexible processes setting processing rules of five types of managerial documents: agreements, memos, requests, organizational and administrative documents and drafts of outgoing documents.
- The organization of the distributed system operation providing a common information space between the companies.
Integration of the databases used in the company which are not a part BOSS-Referent of v. 2 with the new version of a system.
"We are going to begin work with the new version of the program with complete functionality at the end of May of the current year", - Mikhail Yuryevich comments. "Users look forward to the beginning of work of the new version of EDMS BOSS-Referent. They understand that with its input working conditions will become much more comfortable, time of approval of documents will decrease, the efficiency of each worker will increase, and it finally will lead to increase in efficiency of the enterprise in general".
