"The Russian dairy company" implemented an electronic document management system based on DocsVision. Implementation was performed by the Samara system integrator "Software technologies", premium partner of DocsVision company. Within the first stage of the project in the company approval process was automated agreements, the electronic archive is implemented, integration of electronic is configured archive of documents with a 1C system: Enterprise 8.

The decision on system implementation of electronic document management (EDMS) was made in the company at the beginning of 2011. Opening of the enterprises, start of new projects, expansion of production capacities caused increase in a flow information. Terms of processing of paper documents increased, began to arise delays when routing agreements between participants of process approvals. The situation was complicated by the inconveniences arising in the course corrections of notes of the approving persons. Therefore, priority implementations of EDMS there was an automation of processing of agreements and accounts, coming to the organization.

<Нам потребовалось модернизировать работу с договорами, сделать этот процесс more logical and systematized. For this purpose we addressed to the company <Программные Технологии>, which has an experience of implementation of similar projects in different regions of Russia. During negotiations we decided on a framework the project and also selected the platform for implementation of the solution - a system DocsVision. Existence became one of the factors which influenced our choice additional solutions on this platform. In particular - the system block quality management (SMK) which can be demanded further in our company> - Rasheed Hayrov, the CEO of Ltd company tells <Русская молочная компания>.

In March, 2011<Русская молочная компания> and the Samara system integrator<Программные Технологии> signed the agreement and started to project implementations. At the initial stage with the assistance of legal department the customer classification of agreement types was developed. For everyone specialists<Программных Технологий> created divisions of the company<Программных Технологий> individual template of approval, thanks to which at the approving persons there was an opportunity to enter registration information and to fix stages works on the agreement.

Artur Galanin, the commercial director, Ltd company tells about parts of the project <Программные Технологии>: <Реализованный нами процесс работы с договорами means two-stage approval: with profile service and with persons, making the decision on the agreement. According to the results of approval in a system it is created the sheet of approval in which resolutions of all participating persons are reflected. When from the partner the original document comes, it is given in legal service. Before transferring him to archive, lawyers check correctness of information and<активируют> the agreement in a 1C system - it gives possibility of accounting to perform financial actions under the agreement>.

The project deadline made one and a half months. Now the system implemented in RUSMOLKO includes a full stroke of work with documents: preparation, approval, statement, information transfer in 1C, issue tasks for execution, control of execution of tasks and also receiving the work progress reporting with agreements.

The electronic document management system installed in RUSMOLKO already began yield the first positive results: approval terms were reduced documents; contractors had an opportunity to monitor process approvals and quickly to take measures for elimination of notes; it was created electronic archive that simplified further work with agreements.

Automation of work with agreements and accounts - the first stage of cooperation between<Русской молочной компанией> and<Программными Технологиями>. In the next plans - further development of a system, control implementation performing discipline and processes of SMK.

Project Development

At the beginning of 2013 the management Rusmolko made the decision on expansion of systems capabilities Docsvision due to process automation which are beyond office-work.

Job

During the project processing of requests for the inventory items (II) and electronic archive is configured. The implemented solution based on Docsvision reduces time of processing of Inventories, accelerates their passing along all route of approval and execution. The electronic archive of requests excludes loss of documents and also provides convenient and quick access to the history of documents. Formation and tracking of requests is performed via the web portal with the clear and friendly interface.

Transition to Docsvision 5.1

"The Russian dairy company" passed to Docsvision 5.1, the press service of the company integrator reported on August 14, 2013.

The project objective consisted in transition to the new, modern platform with enhanced capabilities and a user-friendly interface. Using a test environment in which created the complete copy of a system, partners minimized project risks, and transition is made for two days off - on July 19 - on July 20, 2013.

In an electronic document management system more than 70 people work. All staff of holding can use a system, for August 14, 2013 is a staff of the central office of the company and responsible persons in 5 farms of the Penza region.

Dmitry Brykin, the head of department of implementation of electronic document management systems of Software technologies company, noted: "Docsvision in "The Russian of the dairy company" is integrated with a 1C system: Enterprise and MS SharePoint corporate portal. All complex is actively used therefore we were faced by a task without failures and risk to transfer work to the new platform. For this purpose at the beginning we unrolled at ourselves a test environment, the complete copy of the industrial Rusmolko system, executed transition and checked operability of all principal components. Then we prepared and approved the plan of transition to the new version – this stage of preparation took us about two weeks, but the main works were made only in two days. Successful transition gave start to the new project on completion of the current solution and partnership development".
