For reduction of number of possible errors and reduction of time expenditure by conducting accounting and operational accounting the company management made the decision on implementation of a specialized automated system. As possible options a number of foreign systems of accounting of a real estate and also the domestic software product "1C: Corporate Finance Management" developed on a technology platform "1C:Enterprise 8" was considered. As a result a choice of Basic Element Real Estate LLC was made in advantage "1C: Corporate Finance Management", thanking, including, to its such advantages as simplicity of setup, openness of the source code, lack of functional redundancy for the user.
At the same time it should be noted that functionality of the solution "1C: Corporate Finance Management" in a standard type not completely corresponded to requirements of Basic Element Real Estate LLC that was connected with specifics of business processes of the enterprise. Development and deployment of the automation system of processes of management of a commercial real estate based on the selected drawing product were charged to the AXELOT company having considerable experience of project implementation of automation of accounting and operational accounting in the large Russian and international companies.
In the developed AXELOT for Basic Element Real Estate LLC to the automation system of processes of management of a commercial real estate accounting and maintaining agency agreements between the Agent and Customers and lease agreements between the lessor and tenants is organized. Agreements contain detailed information on objects, terms and cost of lease; on each real estate the list of characteristics and the document list of property is kept. The possibility of entering of operational changes and additions into agreements is implemented, and information on the previous agreement revision also remains in a system. The possibility of correction of debts and payments is provided: for example, transfer of a debt or tenant's overpayment from one his agreement on another. Mechanisms of accounting of deposits (payments for the last month of lease) and any splitting total amount of payments on months are created and implemented. In the program the control of the areas and the size of a rental rate which is not allowing to set a lease rate less the stated lessor and preventing execution of the lease agreement on already handed over areas is implemented.
The possibility of printing of agreements, supplementary agreements and the register of a real estate is provided in a system. The user can independently adjust if necessary printed forms, making necessary changes to templates.
In an automated system settlement between tenants and the lessor is considered and monitored. For the purpose of adjustment of settlement are organized the system of diversity (detailing) of payments on their receivers and the system of formation of payments for transfer to lessors.
Specialists of AXELOT develop a complex of reports for the Customer, managers, accountants and leadership team of Basic Element Real Estate LLC. Reports can be created by tenants, appointments and the addresses of the areas, the actual payments. Reports are an operational source of information on the number of the signed agreements, volumes the money which is in lease and management of the areas which arrived and transferred, etc.
Result of implementation of the automation system developed based on "1C: Corporate Finance Management" – minimization of time expenditure of employees of the Customer on maintaining accounting and operational records that increased both controllability of the company in general, and the service level of clients. The project of automation lasted from July to December, 2008. Technical specifications and the model of a system were during this time developed, work instructions are prepared, training of employees of the Customer is provided, start of a system in trial operation is executed.
