The project of process automation of office-work and document flow in JSC Joint Power Supply Company (Moscow), including:
- registration of the entering and outgoing correspondence;
- processing of administrative documentation (orders, orders).
The project is executed based on the Naumen DMS software product. The contractor of the project – NAUMEN company.
Profile of activity of the enterprise
JSC Joint Power Supply Company (www.oesc.su) was formed in 2009; the enterprise is created for consolidation of management of the sales companies JSC Mosenergosbyt, JSC Petersburg Sales Company, JSC Altayenergosbyt, JSC Saratovenergo and JSC Tambov Power Supply Company, for the purpose of ensuring more reliable power supply of consumers.
Project Objective
The project is aimed at improvement of operational processes of work with documents, quality improvement of processing of the entering and outgoing correspondence, increase in transparency of passing of documents at all stages of their lifecycle, an exception of loss of documents, ensuring efficiency of business processes of the enterprise.
Project Progress
Work on the project was begun in December, 2009 and is complete in February, 2010. All project tasks were carried out in full.
During the project the complex of works, including inspection, development of technical specifications, preparation of the user instructions, system deployment on the customer's equipment, training of employees of the customer, start is carried out to trial operation and maintenance.
Along with automation of basic processes of document flow – managements of administrative documents, the entering and outgoing correspondence – are configured processes of registration of memos and agreements.
Project Results
With system implementation of Naumen DMS the basic office work processes of the enterprise improved.
Creation of a single system of work with documents in OESK having territorially - the distributed subordinated organizations, increased efficiency of document flow and information exchange between these enterprises. Using tools of a new system, the management of OESK has now an opportunity to timely bring management decisions to the staff of the company and subordinated structures and to control onto execution with the analysis of terms and results.
Staff of the enterprise in the minimum terms mastered work with documents and processes electronically. Now they can collectively work with documents and tasks, quickly exchanging a necessary imnformation both in the enterprise, and with the external companies of holding. For this purpose remote access in a system is provided to the staff of the external organizations. During the work with electronic documents the information system controls the information access layer according to powers of employees.
Expanded functions of control of performing discipline allow to appoint personal and group tasks and also tasks for divisions according to an organization structure of OESK.
Perspectives of development of the project
Further implementation of Naumen DMS in all OESK subordinated organizations for increase in efficiency of business processes and cost optimization is planned.
