Gazprom dobycha Krasnodar: project on automation of personnel document flow

In Gazprom dobycha Krasnodar LLC the electronic document management system (EDMS) implemented based on the DocsVision platform is brought into commercial operation. At the moment in a system more than 500 employees of the central office and territorially remote divisions of the enterprise work.

Electronic document management was implemented in Society within 9 months. A common information space on work with documents was as a result created, work with the entering and outgoing correspondence is automated, control of execution of documents is organized. Implementation of EDMS based on DocsVision in Gazprom dobycha Krasnodar LLC was executed by the Krasnodar system integrator, Erker company.

"Thanks to system implementation of electronic document management in Society terms of passing of documents and bringing instructions to contractors were significantly reduced, there was a transparency of information flows, the dynamism of documentary providing grew", – the CEO of Gazprom dobycha Krasnodar LLC Mikhail Geykhman noted.

In plans of the company further development of EDMS – for ensuring the legal importance of electronic documents is planned implementation of infrastructure of the Electronic digital signature, automation of personnel document flow, creation of electronic archive and also increase in number of users of a system.

"The project was rather difficult - a large number of users, geographically distributed structure, impressive volume of documents. In the course of start of a system in operation we aimed to observe individual approach to each user. Such approach allowed employees of Society "Gazprom dobycha Krasnodar" to receive necessary skills of work in EDMS with a large number of documents. Thanks to interest and support of company management and active participation of the working group of the Customer today the project is implemented in commercial operation. Together with the Customer we define a further vector of development of the implemented system. Also there is a wish to note active participation in the project of DocsVision company. Also for the period trial operation in the DocsVision system it was not recorded any failure, and a first line support of developer company of a system allowed to bring the operated solution to new qualitative level", - Velichko Elena, the technical director of Erker LLC commented.

At centralization in the society of functions of personnel records and creation of Personnel management there was a need for creation of a common information space on work with personnel documents and the mechanism of transfer and approval of documents using the software certified on FZ-152. In 2012 the project on automation of personnel document flow started. This development allowed to reduce terms of processing and approval of documents at acceptance and transfer of workers and also at a design of payments of social character. A total quantity of users of Docsvision — about 150 people: workers of personnel management and all heads of structural divisions of administration and branches of society.
