Academy of social management (1C: Enterprise 8.2)

The Academy of Social Management public educational institution of higher professional training (ASOU) is founded in 2004 by the Ministry of Education of the Moscow region. The academy includes faculty of management and faculty of psychology, nine research centers; at Academy there is a hostel. Both budget places for pupils, and paid are provided in ASOU. Also pre-university training of entrants for entrance examinations in own Center of preparation for the USE is performed.

Due to the enforcement in 2011 of new regulating documents on accounting in public institutions the Academy had a need of transition to a new automated system - the "1C: Accounting for budget organizations 7.7" used earlier ceased to meet modern requirements to accounting.

As accountants of ASOU were already familiar with the programs "1C: Enterprise" of the former version, the management of university decided to pass to the new software product "1C: Budget Institution Accounting 8" allowing to keep account according to new requirements. Implementation was entrusted to company "1C Architect of business", the leader of the rating of 1C among Competence Centers on budget accounting with which the Academy cooperates since 2005.

Transition to the new platform "1C: Enterprise 8.2", data transfer from old base in new, personnel training to work with the program and also setup of data exchange with a configuration in which payroll is conducted took only three weeks. Thanks to regular mechanisms of 1C: Budget Institution Accounting 8 transfer of information about more than 5000 units of fixed assets in new information base took only 2 days. In total in ASOU 10 jobs were automated.

Today accountants of Academy of social management actively use following features of a new system:

The automated control of errors, control of postings, remaining balance of material values, etc. Irina Alekseevna Morozova, the chief accountant of Academy of social management, comments: "The program itself "monitors" correctness and completeness of the data entered into a system (for example, in documents lines which need to be filled are emphasized, and calculation errors are selected with red). It allowed to reduce time for error correction twice and to reduce their quantity by 80%".

Fast processing of payment documents. It is especially important before academic year when for short term it is necessary to process more than 6000 statements from treasury and to make write-offs from the budget personal account. According to Irina Alekseevna: "At first we create payment orders for treasury, then through some time we receive statements from bank which need to be processed. For this purpose in a system automatic recognition of write-off of funds from the budget personal account on earlier created payment orders, i.e. all is provided in one document. It considerably saves time: it is not necessary to select again the partner, the agreement. For example, processing of 200 statements was reduced from two-three days to 20 minutes".

Income distribution under agreements (for example, on accommodation in the hostel or training). All agreements with pupils are entered into the system, and receipt of funds on the account of Academy automatically becomes attached to this or that agreement. It allows to monitor settlings with each student, to see debts, without spending time for long search of the necessary information.

As a result of implementation of 1C: Budget Institution Accounting 8 the Academy of social management passed to work according to new rules of the Ministry of Finance, improved quality of the prepared reporting due to automatic control of correctness of accounting and also significantly reduced time for accomplishment of daily routine transactions.

Irina Alekseevna Morozova tells about the project: "Transition to "eight" was simple and fast, despite our big information base. Program capabilities of 1C: Budget Institution Accounting 8 are extensive and help to fulfill quicker and more precisely our day duties according to the legislation. I would advise all budgetary institutions not to be afraid to pass to "eight" - it really saves time. That work because of which it was necessary to be delayed earlier in the evenings becomes in only several minutes now".
