The CORUS Consulting group completed the project on automation of personnel records and payroll on the 1C: Manufacturing Enterprise Management platform in Zhilkomservice No. 1 of Kirovsky District LLC - child structure of Prominvest management company.
Zhilkomservice No. 1 of Kirovsky District LLC is the largest division of UK "Prominvest" in St. Petersburg. In its management there are 673 residential and public buildings with a total area more than 2500 thousand sq.m. Service of these buildings and house adjoining territories is conducted by more than 800 employees.
HR records and payroll calculation in the company were conducted in the MS Excel and the local program "Accounting of Work and Salary", however in connection with the large volume of employee transfers of employees, optimization of regular structure of the company and also complexity of problems of financial accounting, applications ceased to provide the necessary accuracy and efficiency of work of staff of personnel department and accounting.
But the decision of UK "Prominvest" on implementation of full house accounting, including reference of expenses on compensation on cost value of different services in each serviced house became the main factor of transfer to 1C of personnel records and payroll calculation.
Earlier CORUS Consulting Group already carried out automation of accounting and tax accounting for all housing-and-municipal services as a part of UK "Prominvest" based on solution 1C. Implementation of functional units of 1C Personnel management and "Payroll" became the next step in development of this solution.
The project on implementation of specialized blocks 1C proceeded 6 months and included a full range of tasks – from audit and determination of requirements before testing of the implemented blocks 1C on real data (with parallel maintaining data in earlier used systems) and successful transition to commercial operation. An essential part of tasks of information input about employees in a system was transferred in a project deliverable to Personnel department that considerably facilitated work of settlement group, at the same time specialists of settlement group of Zhilkomservice No. 1 LLC had an instrument of the automated control of settlement process of the salary in the conditions of the considerable number of employees and a large number of types of charges and deduction. Important advantage of the created solution is also the possibility of detailed setup: costs for the salary are reflected in financial accounting in different analytical cuts: on income types, cost items, divisions. Integration with Internet banking is carried out thanks to what in the automatic mode files of the Salary project and Requests for opening of employee personal accounts of ZhKS № 1 LLC in the St. Petersburg bank servicing accounts of the company form.
"Implementation of 1C for personnel records and payroll calculation – a new step of the large company from housing sector to complete transparency and increase in controllability of business. Such approach allows the company to manage wage fund as the making cost value of services, with detailing to the level of each serviced apartment house. And also accurately to set responsibility of the divisions for service quality rendered to residents of each specific house. User training became one of key stages of the project: the most part of the employees of ZhKS № 1 LLC who are engaged in accounting and settlings with personnel had no experience with Windows and 1C OS therefore it was important to give the basic knowledge allowing to master quickly work in the new system "from scratch". Also among the achieved results in Zhilkomservice No. 1 LLC note creation of uniform base for financial accounting and accounting of personnel and the salary, automation of such tasks as calculation of processings at employees with the replaceable working schedule, calculation of different surcharges and allowances, creation of the reporting in necessary cuts. "Transition to conducting personnel records and payroll accounting to 1C gave the chance to obtain detailed information for the analysis, control and formation of financial statements in a short time and with a high accuracy", - the chief accountant of ZhKS No. 1 Elena Sadyrina noted.
In further Zhilkomservice No. 1 LLC is going to use results of payroll accounting for inclusion of costs for wage fund in house accounting of financial activities of the company. Thus, transparent formation of housekeeping overheads of objects will be provided.
