The Murmansk region duma implements the solution EDMS for automation of basic processes of office-work

The Digital Design company completed system implementation of electronic document management on the DocsVision platform in the Murmansk region duma.

Reasons

For the Murmansk region duma it was important to provide fast and convenient document registration in the automated mode. Before implementation of EDMS it was recorded in two separate systems which considerably became outdated. Accounting of documents in office and citizens' appeals was conducted separately, and except registrars nobody had access to cards of documents.

Solution

Within the project specialists of Digital Design implemented and configured the solution "Administrative Office-work" - the application on the DocsVision platform intended for public authorities. It helps to automate the basic office work processes: registration of incoming documents with the attached graphic images, internal and outgoing documents, the schedule of resolutions, control of performing discipline, drawing up reports and quick search of documents. The relevant phonebook by employees is created.

Now as a result of project implementation any employee can find necessary information in read seconds. Also the mechanism of work with instructions changed. At pronouncement of the resolution, the contractor receives the message by e-mail from where he at once, without making excess actions, can open a task in EDMS and start its accomplishment.

Opinion

"We made the decision to set EDMS on the DocsVision platform as a similar system successfully functions in the Government of Murmansk region. Their experience proved that such EDMS copes with all tasks connected with automation of administrative office-work of authorities. We move on the way of development of information society and we try to increase as much as possible efficiency of management processes and level of their automation", - Igor Smirnov managing the sector according to the information software, the Murmansk region duma comments.

Sergey Gaydamakov, the director of the department of automation of government institutions, Digital Design, noted: "Activity of public authorities is directly connected with documents – their preparation, approval and execution therefore it is very important to organize effective processes of the automated document flow. The project in the Murmansk region duma became the next step on the way of Murmansk to creation of a modern management system. Further we are going to expand functionality of EDMS in department of work with citizens' appeals. Besides, the structure of electronic documents and the created reports will be gradually expanded, the bigger number of users will begin to work with a system".

Now users of EDMS are more than 50 employees of the device.
