Content

The 1C: Accounting and Trade company (BIT) completed implementation of the 1C: Accounting 8 CORP software product in Iron Mountain Incorporated company.

Background

Because of remoteness of the Russian branches and application they and the central administration in Moscow of different information systems, complicated control and systematization of the made expenses, there were difficulties when forming the consolidated statements. Preparation of reports for the management required considerable time and labor costs as all management reporting was prepared manually. Specific reports to founders also formed manually. Tax bases for calculation of income tax and the VAT were conducted in spreadsheets therefore often there were errors in accounting and preparation of tax statements. The company management made the decision on implementation of the new software product which would provide operational conducting accounting, tax, financial and management accounting in one system.

The implementation project is implemented by 1C: Accounting and Trade company (BIT).

Solution

A new system allowed to increase quality of control of process of purchases thanks to what situations of unreasonable expenditure of company funds are excluded. As a result, the volume of costs of the enterprise decreased by 10%. Accounts and documents for implementation form twice quicker, respectively service rate of clients increased twice. Time for preparation of the consolidated statements and formation of managerial reports was considerably reduced.

Result

In a project deliverable time for formation of the regulated reporting was reduced by accounting twice. The number of errors under the authority of tax accounting and preparation of tax statements was significantly reduced. Several times the speed of formation of the consolidated statements and reports for the management increased.

The mechanism of monthly automatic creation of accounts and agreements implemented in the program lowered load of accountant officers. Earlier this process took about a week, and practically all accounting was engaged in a design, many employees had to work overtime. Thanks to automation a design of monthly implementations takes two days and labor costs of two people. As a result the number of errors in accounting and documentary registration of transactions was reduced by 80%. Speed of drawing of accounts and a design of monthly implementations (invoysing) increased more than twice. As a result, service rate of clients doubled.

The system of accounting of requests implemented in the program allowed to strengthen control of expenses of branches and the central administration. Before implementation all expenses were approved in paper form that required a large number of time and distanced the moment of receiving/provision of services and payment. Now users of a system create requests for acquisition of material values and services in the program, and the employees responsible for cost management, quickly check justification of expenses and approve payment amounts to suppliers. At the same time the management can receive the report and analytics on expenditure of means on branches and the periods at any moment. As a result, the speed of approval of expenses increased twice, labor costs of finance division and purchasing department decreased and also the volume of costs of the enterprise in general was reduced by 15%. Besides, using a system specially configured reports on cost analysis in cuts, specific to the organization, form that allowed the central administration to provide expense information to founders quickly.

Alla Solomatin, the chief accountant of Iron Mountain Incorporated, noted: "I work in the company relatively recently. At acquaintance with the applied earlier information system of the company I faced a number of difficulties, such as: not configured appropriately tax accounting, lack of a possibility of operational formation and vising of requests, incorrectly entered remaining balance for previous periods, mismatch of data of accounting and tax accounting. Using the solution "1C: Accounting 8 CORP" and specialists of 1C: Accounting and Trade company (BIT) all problems were fixed in rather short terms. At present a system perfectly works with the maximum return and efficiency".
