In SK "Nasko" advanced functionality of Directum

MT Group completed in 2011 the first large-scale stage of implementation of the DIRECTUM ECM system in JSC NASKO – one of insurance companies, the first in the amount of authorized capital.

JSC NASKO works at the market of insurance services since 1996. The company has the wide wide branch network provided by more than 15 Territorial Departments and 50 branches for all Russia. The most influential rating agency of Russia RAEX assigned to the company score "And" – the high level of reliability.

Business development and expansion of geography predetermined need of creation of a common information space and optimization of the key business processes of the company connected with processing of the growing volume of documents and the distributed work of employees. In this connection the management of "HACKO" made the decision on ECM class system implementation. The choice of a system was performed on the basis of market research, the main criteria became – development of functionality, openness of a system and also possibility of the organization of geographically distributed work with branches. As a result preference was given to the DIRECTUM ESM-system which functionality allows to solve all assigned tasks. As system provider the Certified partner of DIRECTUM company having considerable experience in the field of workflow automation – MT Group company acted.

The first stage of an implementation project started in October, 2011. The main objectives of this stage became:

  • transfer to an electronic form of work with organizational and administrative documentation;
  • office-work automation (including, pronouncement of resolutions and control of their execution);
  • creation of uniform electronic storage of documents about a possibility of convenient and quick search;
  • process automation of the organization and holding meetings (formation and approval of the agenda and minutes of meetings, control of execution of the decisions made at a meeting);
  • creation of a common information space for joint work of employees;

The solution of assigned tasks was based on functionality of the Basic modules DIRECTUM and also business solutions "Classical office-work" and "Management of meetings and meetings". Automation concerned all departments of head office "NASKO" and also branches of the company in which processes on execution of memos, orders and orders were optimized.

A system was put into commercial operation in December, 2011. At the moment in DIRECTUM about 100 employees of both head office, and Territorial Departments work. The company had an opportunity of transparent interaction in unified information environment. In further plans of the management of "HACKO" – development of functionality of a system and automation of work of all staff of Territorial Departments of the company.

The efficiency of the project is commented by Fayzulin Renat Zabirovich, the Head of IT of service of NASKO company: "Results of the first stage of an implementation project of the DIRECTUM system did not keep themselves waiting long. In the company the culture of electronic document management is created, preparation of documents and their approval is quickly performed, the risks connected with loss of documents were reduced, the performing discipline considerably increased. Besides, thanks to implementation of DIRECTUM our company solved the key problems connected with processing of documentation, to creation of effective work with meetings and the general quality improvement of work of employees".

Annually insurance company expands functionality of a system and an organizational framework of its use. So, in 2015 NASKO doubled scales of use of EDMS. The company initiated transition to the most powerful version of DIRECTUM – Enterprise. Over 300 users were connected to work in a system.

In 2016 NASKO decides to automate process of approval of signing of the contracts of remote branches.

Work of the central office and territorial subdivisions is strictly regulated. All agreements with potential risks for the company surely undergo approval in the main office of the company. Earlier discussion of disputed issues happened to use of public mail services that was inconvenient in terms of speed and control of works. The document arrived by mail, was downloaded, edited and through mail came back. It was important to head division to optimize and standardize this procedure and also to provide control from internal auditors.

In a month specialists of integrator developed and brought the new process allowing to arrange and optimize approval of the relevant documents into operation. Implementation of new functionality helped to close requirement of insurance company for the fixed mechanism of interaction of remote branches with central office of management. Now over 100 branches and divisions of NASKO perform approval of insurance contracts of motor transport in information space of DIRECTUM.
