KS-Consulting: Monitoring of documents

"Monitoring of documents" - own development of KS-Consulting company, its first commercial version appeared at the beginning of 2005. For work with the module it is not required to start the workflow system - the application scans card files of EDMS "DELO" according to the set settings and notifies the user on the come and coming events in the CASE system: about receipt of new documents and instructions, change of the project status of documents, input of new reports by contractors; about approach of control completion dates of instructions, vising, signings of draft documents, etc.

This application is developed and tested on compatibility with the CASE Enterprise system (starting with version 8.9) (platforms MS SQL Server, Oracle). The product is intended for the notification of officials on receipt of documents and resolutions and also the preemptive notification on control completion dates, vising and signings of documents.

In comparison with the standard "Annunciator of offices" which is built in system "CASE", "Monitoring of Documents" gives to users the following additional features:

• receive notifications on receipt of documents, achievement of control terms, without resorting at the same time to start of the CASE system;

• monitor the movement of documents and control completion dates in all available offices and card files;

• receive preemptive notifications on approach of control terms according to documents, resolutions and processes of vising of draft documents;

• send to destination by means of messages of E-mail and the SMS the main details of the arrived documents/resolutions;

• select from signal quality of the notification any tune (for the computers equipped with sound cards).

The application consists of server and client parts which are established, respectively, on the server (where "CASE" is set) and in client workplaces of the CASE system.

2014: "Monitoring of documents" of version 6.0

"Monitoring of documents" of version 6.0 works with the CASE system, starting with version 12.2.1 and also is compatible to the subsystem "DELO-Web". The application received the updated interface and additional functions. In this version of "Monitoring of documents" all notifications are broken into two blocks: "Monitoring of unread objects": here information on the new documents, instructions, reminders, draft documents and reports which came to the traced offices and card files is displayed; "Monitoring of completion dates": here information on approach of control terms, dates of vising and signing accumulates.

In the previous versions all new RK and RKPD were displayed in one section "Came documents to offices". In the new version unread documents are distributed on groups: the arrived RK (without instructions, for example, on transfer) are displayed in the section "The arrived documents"; instructions and reminders for the contractor – in the section "Instructions and reminders"; instructions for the author \controller – in the section to "Order to the author \controller"; new RKPD – in the section Draft documents.

In the Monitoring of Unread Objects block existence of changes in these objects is monitored now. If the order which is earlier browsed by the contractor is edited further by the author, record about it will appear in "Monitoring of unread objects" again. Having opened the Protocol of changes of order, the contractor will be able to look what changed.

In the Monitoring of Completion Dates block of the notification are also grouped in sections: "For the controller": here the author of order or the controller sees notifications on instructions on which completion date comes, and there is no report of the contractor yet (it is the new opportunity which for the first time appeared in version 6.0); "For the contractor": here the contractor receives notifications on approach of completion dates of documents; "For the contractor of RKPD": here notifications to the author of the draft document that vising term comes nearer, and the visa arrive are not put down yet (it is also new feature of the Monitoring of Documents application); "For vising" and "For signing" - in these sections notifications on approach of terms of vising and signing of documents respectively appear.

In the Monitoring of Documents application several methods of notifications of the user about events in a system – the blinking icon in a tray, a sound signal (with a possibility of the choice of the sound file), obtaining notifications on e-mail are available. In the new version the configured option - "Open Monitoring of Documents in the presence of Events in the Section of Order and Reminder" is added. In this case, except standard notifications, the application window will emerge.

"Monitoring of documents" from the moment of a release of its first version was purchased by 120 customers. With this module about 3400 users work for summer of 2014. The application is used in legislative and executive authorities, local government, educational institutions, business companies. The greatest number of jobs was purchased the Tyumen region duma (about the project it is possible to read on the website of EOS Group), the State Meeting (Il Tumen) the Sakha (Yakutia) Republic, by District city administration of Yakutsk, City administration of Angarsk, Legislative Assembly of the Novosibirsk region, City administration of Vladivostok, JSC Tatneft, UGRS "Lenagazservice" and a great number of others.
