Content

The Sibaviastroy company with the assistance of Referent News Agency LLC company automates document flow based on the EOS for SharePoint system.

Tasks

The purpose of implementation was workflow automation on all divisions of the Sibaviastroy enterprise. Problem definition of implementation includes: the registered and approved regulations of the movement of documents at the enterprise, the installed and customized electronic document management system (the server, client computers, scanners), training of employees, instructions for each workplace, appointment of the controlling employee (supporting the employee) on each division, the developed training skrinkasta on work with a system for all staff of the company.

Important problem of creation of EDMS in Sibaviastroy is involvement as it is possible bigger number of employees of the company in implementation process of the project in order that a system became afterwards really working tool allowing to answer the main business needs of the customer:

  • creation of transparency of management (an opportunity to monitor accomplishment of assigned tasks, the location of documents);
  • reduction of laid on costs;
  • reducing costs of working time for document retrieval;
  • creation of a system of the motivation based on achievement of the set indicators.
  • creation of uniform library of regulatory and working documents on the enterprise;
  • creation of a uniform informational portal at the enterprise;
  • maintenance of version control of the created and consistent documents;
  • transition to paperless document flow between structural divisions at the enterprise.

Selection

When choosing the automation equipment of document flow the working group of the client carried out comparison to Sibaviastroy several EDMS. As a result, based on assessment of opportunities of systems during practical demonstrations, the management Sibaviastroy stopped the choice on a product of developer company "Electronic Office Systems" - the EOS for SharePoint 2010 system.

Solution

At the first stage of the project in October, 2011 examination of the organization of document flow of the enterprise was conducted. As a result, in December, 2011 the report containing the registered and approved routes of passing of all document types at the enterprise was submitted.

The second stage of the project is started in January, 2012 during which implementation and the EDMS setup is executed. Planned finish date of this stage - April, 2012.

Objectives

Expansion of a system with connection of jobs of all staff of JSC Sibaviastroy and development of the SharePoint 2010 portal is in the long term planned.
