The broker house Opening began commercial operation of EDMS

Since the beginning of January, 2012 the Broker house Opening began commercial operation of the DIRECTUM system. At the moment in a system 100 employees of the company at the same time work.

JSC Broker House Otkrytiye performs the activity since 1995, providing broker and depository services to both the Russian, and foreign investors, and today is one of the largest broker companies of Russia. Long-term experience of the securities trading and broker service allowed the company to reach the leading positions on the trading volume in the stock market and the derivative financial instruments.

Activity of the company as professional participant of security market, it is connected with large volumes of the entering, outgoing and internal documentation. Difficulties searching, updating of documents and control of work on them promoted making decision on workflow automation. The convenience of work with documents, existence of the tool to independent adaptation of a system and also acceptable price relation, quality and an implementation time became criteria at the choice of EDMS.

After the analysis of different offers in the market of electronic document management the DIRECTUM system as the most flexible, intuitive to the user and adapting under work of a large number of employees was selected. The main mentioned advantages became:

• simplicity of the interface, similarity on usual MS Outlook;
• easy designing of cards of documents depending on business needs;
• simple setup of standard routes of approval and masters of actions;
• convenient setup of the autofilled document templates;
• possibility of individual preference of working folders of users;
• flexible policy of setup of access rights, up to access to specific fields of cards;
• integration into the MS Office applications (superstructures in the toolbar);
• presence of the web client providing basic functionality;
• fast identification of the document (barcode);
• stream input of documents in a system.

IT specialists of the Broker house Opening performed system implementation independently. Under observation of consultants of DIRECTUM during project works 20 standard routes which consider specifics of business processes of the company were configured. For work with organizational and administrative documentation and creation of electronic archive of documents the functionality of Basic modules was used. Implementation of business solution "Classical office-work" allowed to automate work of staff of office. For the purpose of fall forward of entering of information in a system and its operational processing there was an installed service of input of documents – DCTS. And for fast identification of documents using the barcode in the company the solution DIRECTUM RapID is used.

Since the beginning of 2012 a system is brought into commercial operation. At the moment in EDMS 100 employees, including leadership team of the company and approvals of documents, responsible for processes, at the same time work.
