In Verkhnelensky Bank the electronic document management system based on EDMS "DELO" – developments of Electronic Office Systems (EOS) company is implemented. 70 jobs of the CASE system, 70 jobs of a subsystem "Monitoring of documents" and 1 workplace of a subsystem Scanning are set. Delivery and technical maintenance the partner of EOS Group in Irkutsk – LLC performs Referent News agency.

Activity of bank is connected with document flow creation solving of tasks, such as permanent increase in volumes the processed correspondence, the increasing requirements to technology of management of documents directed to regulation and improvement of interaction of all structural divisions of bank. All this forces the management of bank to aim to use the most modern technologies, including technologies of electronic document management in work. Having made the decision on implementation of a special electronic document management system, the management of bank selected the CASE system as the software tool of automation.

The main works were carried out at office of Verkhnelensky bank branch – JSC VLBANK in Irkutsk to the period from January to March, 2012. After carrying out inspection and development of a technique of the organization of document flow by specialists of Referent LLC installation of jobs of a system was executed. At the first stage of the project jobs of heads of departments and key staff of the company were automated.

Then training of staff of JSC VLBANK in work with a system was provided. In this case it passed in a non-standard form using practical examples. During the group occupations modeling real cases which during training were solved the customer's employees, together with the lecturer was carried out. This form of training was productive as it removed the mass of questions during start of system operation in Bank.

By means of functionality of the CASE system in branches and at head office JSC VLBANK it is required to implement:

  • organize the uniform centralized registration of the entering and outgoing documents and administrative documentation;
  • accelerate process of delivery of documents in branches and additional offices;
  • reduce amounts of works on replication of documents;
  • reduce volumes of not registered internal documents;
  • automate control of execution of documents and directory work on documents, etc.

In JSC VLBANK the first stage of implementation is completed. Expansion of quantity of jobs and setup of additional functionality of the DELO system is in the long term planned.
