Alfresco Enterprise Edition

"Laboratory of information consulting" (L.I.C company.) implemented the replicated solution on management of powers of attorney based on the open source: Alfresco ECM system and Intalio BPM engine. The same products were used during creation of a system of electronic approval of agreements. Also a system is integrated with the Active Directory directory service.

Possibilities of the solution:

• automation of formation and/or registration of powers of attorney;
• ensuring completeness and correctness of accounting of the issued powers of attorney;
• exception of technical errors by preparation of documents;
• ensuring control of powers on the corresponding position;
• ensuring control of validity periods of powers of attorney;
• ensuring control of process of withdrawal and withdrawal of powers of attorney (for example, in case of dismissal of the employee);
• ensuring access control to the register and copies of powers of attorney.

A system is expected (but it is not limited) work up to 1000 users, including territorial and deleted, and processing up to 10,000 documents.

During the project was successfully solved a number of key tasks among which:

• formation of a matrix of powers on positions;
• formation of a matrix of levels of the financial responsibility according to a position, level of management and functional activity of the employee;

development of the instrument of automation of formation, registration, storage of the scanned copies of powers of attorney;

• determination of storage life of the scanned copies of powers of attorney in a system;

formation of a matrix of access to a management system for powers of attorney (depending on a type of the power of attorney);

• wiring design of process of management of powers of attorney.

Result.

The solution L.I.C. allowed Tape:

• Provide transparency of process of approval and issue of powers of attorney;
• Increase employee performance: costs of time for search of necessary documents considerably decreased, thanks to electronic archive of the scanned document revisions with convenient function of search;
• Reduce the risks connected with an untimely withdrawal of powers of attorney.

The Lenta company received the convenient and functional industrial solution covering all lifecycle of the power of attorney from the moment of its formation or registration (for notarial powers of attorney) until the termination of term of its action or its response.
