Tatsotsbank selected the Directum ECM system

During system implementation of DIRECTUM processes of approval of outgoing letters, contractual documents, credit requests are transferred to TATSOTSBANKE in an electronic form. Also all works on meetings, customer interaction and office-work are automated. Interaction in EDMS about 200 employees will become a result of implementation. The project is kept by MT Group company.

TATSOTSBANK Ltd – one of the oldest banks of Tatarstan with constantly growing branch network. The company has seventeen structural divisions in Kazan and one in Naberezhnye Chelny.

Active development of bank generated large volumes of both internal, and client documentation that led to search of opportunities of optimization of internal processes and works with paper documents. Therefore the management of TATSOTSBANKA made the decision on transition to electronic document management and started the choice of EDMS. The functionality and the intuitive interface of a system and also experience of other banks of Tatarstan working in DIRECTUM became one of key criteria when choosing EDMS: Bank of Kazan, Zarechye Bank, AKIBANKA, Avtogradbank.

A role was played also by presence at the contractor of the project of experience in area of automation and optimization of bank e-document flow. The MT Group company which only for the last year implemented 2 large complex projects in banking sector of the Republic of Tatarstan and about 10 in the companies from other industries (construction, insurance, trade, production, etc.) was unambiguously selected.

The implementation project will solve problems of automation of the main business processes of bank:

  • approval and registration of all of the internal, entering and outgoing documents (orders, orders, instructions, letters, etc.);
  • automation of process of preparation, consideration and decision according to credit requests for physical persons and legal entities; support of transactions on credit requests, maintaining archive of credit requests, statistics and analysis of credit activity;
  • work with contractual documents (agreements, specifications, acts, supplementary agreements, etc.), including project development of agreements, their approval in all departments, automatic formation of the register of agreements, the further approval and signing of the EDS taking into account powers of the signing person and control of return;
  • process of holding meetings from approval of date, the place, the agenda of a meeting before control of execution of instructions on the made decisions within the protocol;
  • organization of work with incoming documents: primary sorting and document classification, registration, pronouncement of resolutions and instructions according to the document, control of execution of instructions and location of originals of documents, issue of paper copies;
  • work with the current and potential clients, online access to customer information and the history of relationship with it in sales process and marketing efforts.

All these business processes will be automated using functionality of Basic modules and business solutions Contract management, "Management of meetings and meetings", "Classical office-work", "Interaction management with clients". Project works already began: training and certification of the working group is provided, are investigated business processes of the company, now there is a development of project solutions.

The implementation project is going to be completed in September, 2012. After its termination about 200 employees of the bank will work in a system, including from remote offices.

For optimization and automation of this process specialists of MiTek company offered business solution of DIRECTUM "Electronic Archive of Documents of Day for Banks". It covers work with all finance documents of bank provided by the regulatory base of the Central Bank of Russian Federation. These are memorial orders, profits and loss statements, personal accounts, sheets of the opened and closed accounts, etc. Thanks to this solution at employees of the bank to become simpler work with documents. They will be able:

  • register and conduct electronic archive of documents of day;

Documents will be stored in electronic archive with uniform access point to them, and it will provide their quick search according to details in operational and archive storages.

  • to be prepared quickly for audits and checks of the Central Bank;

Images of primary documents from the DIRECTUM system and documents written on a disk are available. Besides, automatic preparation of inventories on the printed documents and the issued disks is provided.

Implementation of "Electronic archive of documents of day for banks" will take place in "TATSOTsBANK" step by step. It is originally going to implement works on transfer to an electronic form of storage of personal accounts and sheets of the account balances of credit institution. Then, documents according to which intra bank control over the made transactions is necessary. Are among the last – the profits and loss statements, settlement documents which initially arrived in electronic form, payment orders and requirements, collection orders, payment and bank orders, memorial orders.
