In Rosevrobank EDMS is updated

Since 2012 Rosevrobank works in an electronic document management system of DIRECTUM. The set of specific processes was during this time automated, tens of reference books with millions of records are created. To satisfy to the growing requirements, updating of the version of a system was required. Involved specialists of TANAIS who were already attracted to the project upon transition from version 4.7 to 4.9 in 2014 in works.

It was succeeded to upgrade to version 5.2 in only 2 weeks. Process of converting started at the beginning of September, 2016, in parallel developers resolved comments to system operation.

If completions in a system small, then thanks to a special tool converting is made in the automatic mode. That functionality that were developed specially under the customer, is transferred to the new version of a system in the manual mode. Often the modifed functionality can be implemented, using the appeared possibilities of the new version, however in case of Rosevrobank all own development remained in an invariable type – such is there was a management condition.

In the DIRECTUM system about 400 users therefore the main works on transition to new of the version were carried out to the weekend work at the same time. Thus, without breaking a usual operating mode of employees, Rosevrobank passed to DIRECTUM 5.2. Users already managed to estimate performance of the new version, advanced functionality of web access and, of course, more user-friendly interface.

2012

Task

Staff of IT department and Management of documentary providing compared the leading domestic and foreign electronic document management systems on compliance to requirements of bank, a possibility of modification, acquisition value and ownership. The electronic document management system and interaction managements of DIRECTUM which opportunities allow to automate all key business processes on work with documents within intra bank processes is as a result selected.

The implementation project of a system began in October, 2011 and ended in July, 2012, including the period of trial operation.

Implementation

At the beginning of implementation consultants of DIRECTUM company provided training of key staff of Bank that allowed to master quicker basic functionality of a system and to formulate requirements to modification of reference books and standard routes. Works on implementation were carried out by specialists of Bank.

Project implementation automates processes:

• information search in the documents brought to EDMS;
• formations of the basic statistic and analytical reports on document flows and the chronological reference on work with documents;
• registration and accounting of the entering and outgoing documents, including documents of the Bank of Russia;

• bringing to receivers by means of an internal mail system of electronic versions of incoming documents, and to workers – versions of the approved organizational and administrative documents (OAD);

• accounting, approval and registration of the ORD projects, control of terms of approval of projects and executions of solutions HORDES.

Result

Implementation of EDMS DIRECTUM allowed to create uniform electronic storage of documents in Rosevrobank. Within process automation standard routes of distribution of incoming correspondence are registered and cards of the entering, outgoing and internal documents with adding of additional details are significantly finished. Besides the staff of DIRECTUM company performed integration of EDMS with the automated banking system.

EDMS in which more than 200 people jointly work became a result of an implementation project.
