The federal head department of construction of roads and airfields at Federal Agency for Special Construction automates office-work in one of the divisions using the 1C: Document Flow 8 program. The contractor and an inegrator in the project company "1C Architect of business", the press service of the company reported on November 20, 2012.

Start

At the end of 2011 the management of federal state unitary enterprise made the decision on creation of an electronic document management system as significant growth in turnover of paper documents began to require too much time for their processing. Preparation of the project documentation dragged on: documents were lost or "hung up" in the course of approval, employees were confused in versions. It became more difficult to trace and control terms of accomplishment of requests: explicit need for workflow automation ripened.

A new system according to the customer should provide:

• bringing specific task in electronic form to contractors (both individual employees, and whole divisions);
• online access of contractors within their competence to information on the documents and instructions which are subject to execution;
• online access of heads to information on the course of consideration of documents and execution of instructions;

differentiation of access rights of users on document types.

The customer held an open competition at the choice of the supplier of the solution. By its results the project offered by company "1C Architect of business" was recognized the best. According to the recommendation of experts of "1C Architect of business" it was decided to use for automation the 1C: Document Flow 8 CORP software product. This solution was optimal for implementation of wishes of the customer.

Solution

The project is performed in two stages. On the first process automation, connected with incoming documents is carried out. On the second – with outgoing correspondence. Both stages included:

• requirements gathering for development of technical specifications according to individual requirements of the customer;
• differentiation of access rights of users on document types;
• setup of roles for heads of divisions;
• training in work in the system of clerks, top managers and company executives.
