The 1C: Accounting and Trade company (BIT) and SMU-303 Ltd group announce a successful completion of the project on complex automation based on "1C: Management of construction organization 8". In a project deliverable the company reached managements new level, control of financial flows is improved, labor costs of personnel and financial expenses are reduced. In the new unified information system more than 100 users work today.
Implementation lasted a little more than one year. During the project in a new system it was automated:
- accounting and tax accounting;
- budgeting and treasury;
- management of construction production;
- purchase management and stocks;
- payroll and personnel management;
- control of motor transport.
Thus, within the project all functional units "were implemented by 1C: Management of construction organization 8". In the unified information system more than 100 users, 50 of them – at the central office of the company, 20 – in the territory of remote offices and about 40 - work at construction objects today.
The created system allows to conduct monitoring of cash flow, to perform a deep financial analysis of activity of the enterprise and effective financial planning. Thanks to operational data the management of "SMU-303" sees the broad picture of work of the enterprise in general and also by the separate organizations and construction projects. All process of management of financial flows – from initiation of the request for financing before carrying out payment is automated, the difficult mechanism of approval of requests along different routes is implemented, control of compliance to the set budget limits is provided. All this allowed to exclude unreasonable financial expenses and to reach managements of financial flows of the company new level.
Budgeting automation considerably simplified management of holding which structure contains not one ten centers of the financial responsibility (CFR), increased transparency of both planned, and actual information that it is very relevant for maintenance and business development in the conditions of economic downturn. There was an opportunity to create as the main financial budgets of the company – the Budget for balance, the Income and expenditure budget, the Budget of cash flow – and operating budgets of divisions and also project budgets. The existing system allows the management of SMU-303 Ltd to plan and control budgets of all internal divisions, to adjust and check them for compliance to the financial purposes of holding. Thanks to a new system the accuracy of budget implementation increased on average by 25 percent.
Thanks to automation processes of management of construction production improved. Data on each construction project, beginning from a stage of planning and before its end, are quickly displayed in an information system. It allows company management to control terms of execution of works, to prevent idle times and to provide accomplishment of planned dates. There was an opportunity to make the schedule of construction using which it is convenient to count terms of implementation and amounts of works, to distribute capital investments, to make purchase plans, to create budgets, to monitor direct works, the material consumption and resource consumption. In a single system work of all production divisions is organized – it excluded duplication of information and gave to some departments an opportunity to use practices of other department, thus not only labor costs of workers are reduced, but also terms at information transfer from one division are reduced in another.
Remote workers of "SMU-303" also got access to a new information system. More than 40 foremen and managers of projects of construction are equipped with portable computers with Internet access and the system installed on them. Thanks to it the company management always possesses the exact information on work progress and speed of construction which is quickly flowing down in a system from all building sites of the company. And distant employees had a comfortable canal for obtaining information on a status of materials in warehouses, plans of purchase that optimized their work.
Control automation by purchases allowed to plan and predict quickly purchases on the basis of construction plans and also to provide continuous supply of platforms with materials. Automation of an inventory control provided full control of tovaro-material values in the company. The created system quickly fixes all warehouse transactions. It repeatedly reduced information volume, entered by storekeepers manually – performance of their work increased several times. Warehouse stocks of the company are optimized, expenses on transportation and storage are reduced more than by 15 percent.
Also within management accounting operational accounting of expenses in necessary analytics is automated that in turn solved a problem of operational assessment of profitability of separate structural divisions and types of activity, a financial result of the project (construction object). In general on project deliverables operating and management costs are reduced by 25 percent.
Accounting and tax accounting of all divisions of holding is kept in uniform information base in full accordance with the Russian legislation now. Need to manually consolidate data on each enterprise for the reporting of holding that significantly lowered labor costs of accounting of the company disappeared. Thanks to work in the unified information system information processing rate considerably increased, the relevance and accuracy of information increased, terms of preparation and submission of reports were reduced.
During the project specialists of BIT company automated the selected "Management of mechanization and motor transport" (UMIAT) of the company. Now in a system all processes, from scheduling before accounting of accidents and repairs are quickly displayed. All this allowed to lower repeatedly labor costs of employees on daily preparation and processing of waybills, to improve control of motor transport and transportations and also to simplify the complex system of payroll of employees tied on waybills. Also a system is integrated with the system of satellite tracking of motor transport and accounting of fuel existing in holding. Now data on location of vehicles, transit time and a consumption of fuel are quickly displayed in a single system that allow to control and analyze work UMIAAT even more effectively.
