The expert center on work with educational institutions of BIT company completed the project on automation in St. Petersburg State University of cinema and television (SPBGUKIT). A specialized system on the 1C:Enterprise 8 platform - "BIT: The selection committee" allowed to simplify processing of statements of entrants and in short terms to prepare the analytical reporting under the waged receiving campaign.

The decision on automation of activity of selection committee was made by the management of university even prior to documents acceptance. It was necessary to train employees SPBGUKIT in advance for acceptance of entrants who, according to forecasts, were expected more, than in previous year. A system which would allow was designed to get rid of widespread difficulties of work of selection committee:

  • reduce labor costs by data processing about entrants,
  • see all information on going to the university in real time,
  • obtain the complete analytical information for data analysis about entrants, the submitted applications and results of entrance tests by faculties, specialties, forms of education, types of financing, etc.

For the solution of the tasks designated above management SPBGUKIT addressed to BIT company in which the Expert center on work with educational institutions works. For creation of a system the author's software product "BIT was selected: Selection committee" which is developed on the 1C:Enterprise 8 platform.

In a project deliverable workflows of selection committee of the university are automated. At the moment in a system more than 20 employees work.

System implementation allowed:

  1. Quickly to process a big flow of the filed documents of entrants. On average in a day about 700 statements come to selection committee. Behind each questionnaire documents, necessary for receipt, are attached. If earlier all information on entrants was stored in spreadsheets, then now all data are reflected in a single system. It allows to accelerate search and processing of statements.
  2. to Provide safe and reliable data storage. In a system all changes according to documents are fixed, access to archive by years is provided. At the expense of it the risk of loss of data is excluded.
  3. there Was an opportunity to create analytical reports with high degree of reliability. Earlier data analysis was labor-consuming, the error probability was big. With the advent of a system information on results of selection committee, including in the forms regulated by the legislation is at any time available to the management and employees.
Knyazeva Lyudmila Andreevna, head of department of work with entrants of the Center of formation of the contingent: "With the advent of a specialized system "BIT: Selection committee" we felt significant changes at accomplishment of daily tasks. The most high-quality changes were observed at a stage of preparation of the analytical reporting under the waged receiving campaign - terms of formation of such reporting were considerably reduced and routine processes accelerated. Of course, the first acceptance with a new system took place in the mode of adaptation of employees and additional settings of the program under needs of university. But we are sure that from next year we will understand already all charm of work in a system".
