On March 25, 2013 Lanit reported on implementation of EDMS in TD Russian Railway -the Russian Railway affiliated enterprise supplying products and services of railway corporation to foreign markets. Using a system in the company the office work processes connected with internal documents, the entering and outgoing correspondence, registration and execution of contractual and organizational and administrative documents were automated. Besides, the control system of execution of instructions was developed, report in Lanita.
The project on implementation of EDMS started in TD Russian Railway at the beginning of 2011. The director of business development of department of document management systems of Lanit Anton Zheltoukhov told TAdviser that in commercial operation a system was introduced at the beginning of 2012. It worked at this stage only for accounting of documents and control of execution of instructions.
Further development of the project clogged as in the administration of TD Russian Railway, responsible for the organization of document flow in the company, heads began to change.
"In TD Russian Railway two chiefs of the department were replaced by affairs, the project was in hover. Only three months ago we managed to stabilize a system position in the organization, and, respectively, to give to the project development", - the source well familiar with the project course told TAdviser.
Afterwards in EDMS the opportunity for work with agreements appeared. According to representatives Lanita, after it users began to see real advantage of EDMS.
Now the company should integrate EDMS regarding approval of agreements of the ERP systemof SAP which implementation began in TD Russian Railway even by the time of making decision on transition to electronic document management and also to expand functionality of a system under approval of agreements. So far EDMS allows to approve only two types of such documents while it is going to provide this opportunity for 7-9 types, Anton Zheltoukhov from Lanita says.
As of March, 2013 about 200 users were connected to a system that makes only a half of the staff of TD Russian Railway. Further it is supposed to connect the rest of employees.
The EDMS implemented in TD Russian Railway is based on the solution OpenText. Big information streams in the companies and also need of automation of difficult procedures of approvals of contractual documents "demanded more opportunities from a system, than can offer the Russian automated systems of office-work and office", explain the reasons of the choice of this solution by the customer in Lanita.
The choice for benefit of OpenText among solutions of the largest foreign suppliers in the company was proved by the fact that OpenText is the only vendor which core business is development of systems on content management, and a possibility of acquisition of modules of integration of this system as a part of SAP products.
