PermNIPIneft LLC is the Perm research and design institute of oil. The purpose of activity of institute is scientific and technical and project maintenances of search, investigation, well-drilling, arrangement and development of oil and gas fields.

Task

Automation of the tender procedure of PermNIPIneft LLC and upgrade of processes of approval by means of the Microsoft SharePoint portal.

Description of implementation

Process of automation of the tender procedure of society is configured by means of the SharePoint portal using Workflow technologies. A common information space for storage of all documentation on tenders and for control of the tender procedure is implemented, and advance automatic notifications of participants of process are also configured by means of e-mail. Decision making process according to tenders is simplified, control of processes from the management is implemented. Process of approval of documents of society is upgraded, the procedure of delegation of tasks of approval of documents, including a feedback by means of SharePoint using Workflow technologies is added, summary (reporting) forms of process of approval of agreements are also configured.

Result

Specialists of Parma Telecom LLC company carried out work on automation of solutions in the field of process control of the organization of tender procedures of Society, approval of tenders by members of tender committee, operating control of process by the management is provided.

As a result of automation of the tender procedure:

• the common information space allowing to see the status of tendering process and necessary reporting documentation on them in one place and also providing the fastest approval of tenders in society is created.
• the uniform template of maintaining the reference information according to tenders is developed.
• business process "The organization of tender procedures" is developed.
• documents are prepared: The description of business process "The organization of tender procedures", Role structure of the procedure, the Instruction for work in the automated procedure, the Description of report forms, the Example of the organization of tender procedures in an information system.
• process of delegation of tasks for the Approval of Agreements procedure is developed and configured in an information system.
