"Electronic Office Systems" (EOS) were implemented by EOS for SharePoint in Thermex Group

Background of the project

Before implementation of the project employees obtained and processed information using the paper, the fax, e-mail, phone, scanning devices. The list of partners was stored in 2 places - in EDMS and in program 1C therefore data had to be entered twice, and they were not connected among themselves.

Also work of sales managers was at a loss need of approval of the client of a security service in order to avoid shipment to potentially unfair buyer. Terms of approval were rather big and broke all business process in general.

Besides, as approval was carried out on paper or by e-mail, it was difficult to collect statistics for job analysis of a security service.

Project Objective

Implement the portal solution and an electronic document management system in which it is centralized all necessary information would get.

Terms and stages

As an electronic document management system^[1] of EOS Group company – EOS for SharePoint was selected. The project on implementation in Thermex corporation was begun in December, 2011. The decision to start tasks consistently was initially made. Sending a request to IT service became the first task implemented using EOS for SharePoint that allowed to attract users on the portal. As IT department ceased to accept requests in an oral and written type, nothing needed to be done by the user how to make out them electronically using the portal.

After successful implementation of this task also other, more difficult processes were automated.

At the end of 2012 commercial operation of a system already on several business to processes began.

Features of project implementation

Feature of this project was the fact that implementation allowed Thermex company to receive the solution EOS for SharePoint in operation at the same time both the workflow system, and the platform on which it is possible to develop the portal solution. In the course of implementation a large number of the interconnected tasks of the portal and EDMS was solved.

In addition to traditional application, [[the system EOS for SharePoint|EOS for SharePoint]] is used in Thermex company for acceptance and processing of requests in IT service, for review the accounts, armoring negotiation, approvals of partners of a security service and other non-standard tasks.

Besides, integration tools of EOS for SharePoint with the third-party systems are used - [[EOS for SharePoint|the EOS for SharePoint system]] unloads data in the table of exchange MS SQL, and from there data come to 1C.

In plans automation of internal document flow on all business processes of the company.

Project Results

The main result the head of IT projects of Thermex Group Anton Krupnov calls the involvement of users: "It was the biggest task: to interest quickly in 2 thousand users in the portal further to develop it. At us all know what is the portal, know how there to enter and how there to work. At implementation of a new task we tell about what functionality appeared, and there is no need to explain what is the portal why it is necessary. Users understand that this tool will be useful in their work".
