Volkswagen Group Rus implements a control system of the movement of spare parts

The Inline Group company announced on June 11, 2013 project completion on development and deployment of a system of accounting of warranty Warranty Parts Tracking System spare parts for Volkswagen Group Rus company.

Start

Processes of the movement of spare parts which replacement happened on cars on a guarantee, from dealers on the central warehouse or the technical service center of the importer, to their subsequent utilization, write-off or return to the dealer according to business process underwent automation.

Project objective - to increase efficiency of interaction between dealers, department of a guarantee, the central warehouse and the technical service center "Volkswagen Group Rus" when implementing processes of warranty service. For achievement of this purpose the automated system of accounting and control of lifecycle of warranty parts is developed and implemented.

One of the main ideas of the project - failure from the practice of process coordination acting earlier on the basis of communication of employees of the importer and representatives of dealers by e-mail and phone, leaving from manual formation of documents by transfer of all processes to an electronic form.

Result

The created system supports the unified processes of accounting of warranty spare parts for all dealers of all brands sold "to Volkswagen Group Rus" in the territory of Russia. The total quantity of the parts passing through a system makes more than 30 thousand every month.

The original informatin on warranty parts arrives from the adjacent system of the importer (SAGA/2) which contains, in addition to technical data, information on financial aspects of warranty repair (the cost of the replaced parts, payments to dealers and other information). Specially developed integration interface implements difficult logic of data processing which provides quality of information coming to a system, despite a possibility of repeated requests for warranty parts, rollback of changes and corrections of values backdating in an initial system.

In a system automatic generation in the Excel format of different accompanying documents is implemented (acts of write-off, acts of sending, acts of utilization, etc.).

As a result of project implementation the general is created for hundreds of the organizations information space in which up-to-date information on structure, characteristics and the statuses of warranty parts and transport boxes gathers. Processes of the movement of parts are regulated, control of them is ceded to an automated system.

As a result:

  • the average time of delivery of parts from dealers to the importer was reduced;
  • parts ceased to vanish from a viewing field;
  • the volume of manual generation and information processing was reduced;
  • practically the errors caused by a human factor disappeared.
