Group 999 scaled EDMS "Thesis"

Before implementation of EDMS in the company there was a standard paper document flow. With development of the company the flow of documents increased, and process of their approval began to take considerable time and labor resources. As well as in many large companies, the human factor played a large role in operational transportation of agreements.

For creation of universal process of the movement of documents, fall forward of approval of agreements and quick search of necessary information the company management "GROUP 999" made the decision on system implementation of electronic document management. The choice of the EDMS conforming to requirements of GROUP 999 company took place in several stages. In 2 months 5 systems were tested.

The main requirements to a system were:

• possibility of independent implementation, intuitive interface of the designer of business processes;
• the most convenient and simple user interface;
• the developed system of notifications;
• possibility of import of the list of partners;
• transparent authorization;
• possibility of substitution of users.

The document management system and tasks of TEZIS which is the ready-made solution working right after installation was as a result selected and created on the flexible platform allowing to automate including, and unique business processes of the company.

In November, 2012 forces of specialists of GROUP 999 company carried out implementation of EDMS THESIS. Automation of legally significant document flow, and first of all – a universalization of process of approval of agreements became the main task. During the first stage of an implementation project the staff of the top managerial management of GROUP 999 company was connected to an electronic document management system: CEO, management of departments, top managers and also department of accounting.

For the entire period of use of EDMS in GROUP 999 company it was succeeded to reduce time of approval of agreements by 3 times, to instantly find necessary documents and to systematize document flow process. Besides, as Anatoly Loic noted, the deputy manager of department of IT of GROUP 999 company, in the company was created the high level of loyalty of employees to the implemented system.

In April, 2013, according to the strategy of development of electronic document management in GROUP 999 company, scaling of the THESIS system was performed. For June, 2013 the solution is used not only leadership team, but also non-management employees.
