The city administration of Pyatigorsk automates control over the movement of documents

In April, 2013 the first stage of implementation is completed EDMS "CASE" in city administration of Pyatigorsk, the press service of the company reported EOS GROUP on August 5, 2013. Implementation was executed by the company Business of IT.

Project Background

In administration of Pyatigorsk by the beginning of the project the difficult layered design was created. At the same time a part of divisions and industry bodies of municipal management are territorially deleted from the main building of administration. Office-work was conducted in a traditional paper form. In municipality complex circuits of document flows were used, and the volume of paper document flow between structural divisions and governing bodies was very considerable.

The decision on implementation of a uniform complex of software tools on the modern technology platform supporting tasks of ensuring workflow automation is made.

At the end of 2012 the Government of Stavropol Krai submitted city administration of Pyatigorsk to EDMS "CASE" for trial operation. Having got acquainted with opportunities and functionality of a product, the administration made the decision on system implementation in all divisions and in industry local government authorities. The Business of IT group became the winner of competition on the right of execution of works on creation of a single system of electronic document management and office-work (SEDD).

Project Progress

In April, 2013 the works of the first stage are completed. Specialists of the company managed to carry out implementation without prejudice to the current organization activity. On a preparatory stage the team of three people studied features of the existing scheme of document flow, user training is provided and also the complex of instructions for work with a system is developed. After start of a system by specialists Business of IT is done a first line support and consultation of users.

For August 5, 2013 in administrations of Pyatigorsk work of service of documentary providing is completely automated. All entering and outgoing correspondence and also in-house documents are registered in EDMS, undergo line scanning and are transferred in electronic form for further processing. EDMS "CASE" works in each structural division of administration and in each branch management of municipality (they are independent legal entities). User training was provided on real documents in an individual order in workplaces and just before start of a system in trial operation.

Sergey Pertsev, the deputy head of administration of Pyatigorsk, noted: "The company coped with an assigned task. All works were performed at the scheduled time, in the planned volume. Training was provided individually, to each user the approach was found that confirms the high professional grade of staff of Business of IT group. It would be desirable to note goodwill and experience of specialists of the company which not only trained all users, but also perform the current information support, quickly answer the questions arising in the course of work".
