Centrgazpromstroy Ltd in June, 2013 the beginning the project of creation of an electronic document management system "CASE", the press service of vendor reported on August 19, 2013.

Project Background

The decision on implementation of an electronic document management system, uniform for all branches, is made for effective interaction within holding, increase in performing discipline and reduction of time expenditure on adoption of joint solutions.

On a decision instant about implementation of the platform of electronic document management in Centrgazpromstroy Ltd the specialized software automating work with documents was not used.

Project Progress

The implementation project of EDMS took more than a month. All works were performed by SoftExpert company.

Works are carried out:

  • inspection of a current status of document flow;
  • development, taking into account specifics of activity of the enterprise, special schemes of the movement of documents (from creation of the project and its approval before execution of instructions and write-off in case);
  • software installation and automation of workflow processes on the following sections: the entering and outgoing correspondence; orders; orders; protocols; memos;
  • individual preference of the system interface according to desires of users, differentiation of access rights of employees to a system according to their powers;
  • group and individual training of all users.

Specifics of work of the enterprise – big percent of time which employees spend in business trips on remote objects. With respect thereto the customer made the demand – to provide a possibility of remote access via the Internet in base of documents of the central office. The task is solved by implementation of a subsystem of "DELO-WEB".

Project Results

In July, 2013 a system in operation is launched: there began the work in EDMS directors, group of office-work, 24 structural divisions, permanent remote division in the Komi Republic.

In a work progress tasks are solved:

  • a common information space with access of all structural divisions, including territorially remote is created;
  • the possibility of maintaining the general the database of electronic documents by scanning of all entering and outgoing correspondence is provided;
  • control of accomplishment of instructions is strengthened;
  • costs of time for information processing are reduced;
  • there was an opportunity to monitor the movement of the document in the organization at all stages of its lifecycle;
  • operational formation obtaining summary reports on document flow;
  • the safety of documents, opportunity in the shortest possible time to find any document is ensured;
  • reconciliation procedure of documents became operational and visual.

In the CASE system 40 employees of the company work.
