Express Money it is founded in 2009 for the purpose of creation of the most convenient procedure of issue of micro loans for individuals on short term, without guarantors and pledge. Today the Express Money company has representations in such cities as Izhevsk, Ufa, Nizhny Novgorod, Smolensk, Voronezh, Perm, Yekaterinburg, Chelyabinsk, Magnitogorsk, Vladimir and in many others. Total number of branches reaches point 150.

Tasks

From implementation of a new information system the following was expected:

  • Creation of a common information space for all enterprise
  • Increase in performing discipline of staff of the company
  • Regulation and automation of process of the reporting of branches

"Management of the geographically distributed organization difficult task. We needed the powerful tool, for control of performing discipline in real time, and through the whole country," - Vladimir Polukhin, the associate director on development comments on Express of Money.

Solution

Proceeding from assigned tasks and the existing conditions, the ELMA system developed by ELMA company was selected. The main criteria became rich functionality, and web access to the application that allows to cut down expenses on installation and also to use all functionality using mobile devices, being out of a workplace.

Scales

Within a pilot project, all branches are covered. In a system all top management of the company, heads of branches, and administrative personnel works.

Implementation Results

For gain of performing discipline the auxiliary processes regulating and automating internal a company performance were implemented: approvals of documents, edition, and bringing to contractors of administrative documents. Automatic numbering of documents for each branch just allows to select addressees of this or that administrative document, without thinking of in what branches these employees are. The system of mailing of internal notifications for periodic events, such as payment of accounts was implemented. It allowed to reduce influence of a human factor on timely execution of payment, and other obligations.

Thanks to standard functionality of tasks, order of heads are not forgotten, and at delegation information is not distorted.

The reports on performing of discipline which are built in ELMA allow to obtain in real time the complete information about loading of contractors, terms of accomplishment of instructions, to see percent of the overdue, and carried out in time tasks. Thanks to it, it is possible to regulate load of contractors, avoiding "work involving all hands" and idle time. Compare efficiency of different employees, find weak points.

Regulation and automation of personnel processes: acceptance and dismissal of employees, reduced choice reaction time about acceptance or failure to applicants, reduced the probability of loss of documents.

It to become a crucial issue with a growth of the organization, and provokes growth of costs for personnel management. It is important to us to concentrate on primary activity therefore auxiliary processes of the organization should work like clock-work".

Processing of the addresses coming to Call center of the company allows to accelerate decision making on disputable situations. Build clear for contractors, and regulations, transparent for heads.

Separately it is necessary to select process of the reporting. From seven stages: problem definition, control of execution of a task, filling of the report, sending reports, systematization of reports, data of reports, it was automated six. Thus, contractors only enter data in a system, all other transactions are completely automated, and are executed by the ELMA system. After all transactions ready reports are sorted by dates, branches and contractors. Are at any time available in a system to viewing, and an opportunity to unload data in "usual" Microsoft Excel.

Further development

After the end of test operation of a system, it is going to connect the project management module, to increase the number of users of a system by five-six times. Simplicity of updating and connection of add-on modules of a system, allows to scale the decision without excess finance and organizational costs therefore system implementation can be separated into stages.
