Dmitry Borovskikh: With the ELMA system all processes became transparent

Dmitry Borovskikh: Search of a system was begun in connection with growth and development of the company. The staff grows, the quantity of assigned tasks and projects which require the accurate organization increases. Besides, we have distant employees which to contact at first sight does not make a problem, but in respect of operational obtaining working information was not to reach them. Speed – one leading factors in business today.

TAdviser: Your company already had an experience with automation systems?

Dmitry Borovskikh: Yes, we within 5 years used a free resource which till certain time closed our needs for document flow and provided the solution of small production tasks. But we exhausted this value. Certain milestones of organization development assume reaching the new level of management and internal communication therefore the need for more perfect automation system rose rather sharply.

TAdviser: How the choice of a system was performed? What parameters were key?

Dmitry Borovskikh: Document flow was keyword parameter, more precisely, we looked for its certain more perfect version. The flexibility of a system concerning features of business was important. I found information on the ELMA system in the Internet, studied possibilities of the movement and document storage, and it turned out that it is more multifunction. Such functions as setting and solving of tasks, control of accomplishment allow to coordinate everything to the same document flow and to see all process entirely clearly.

TAdviser: ELMA is multifunction on what set of modules you stopped?

Dmitry Borovskikh: We stopped on ELMA ECM+. It includes electronic document management, creation and business process management and the internal portal.

TAdviser: Tell how each of modules "is interwoven" into life activity of GSS Engineering?

Dmitry Borovskikh: If to speak about electronic document management, then it is a basis which allows us to simplify repeatedly many "paper procedures". As in the construction industries always a huge number of documents, we start such processes as "The request for creation of the agreement", "Approval of the agreement", "Entering of the agreement in the register", "Work requests" and so on. Periods of time in approval of documents are reduced considerably and now do not require "live" presence of the management.

In order that the module "Business process management" lived and worked, each department in which it was implemented worked. All working business processes were described, and specialists of department of implementation were engaged already then in their embodiment in a system. A lot of the business processes which are subject to automation was described: the entering / outgoing mail, requests, requests, personnel recruitment, delivery of volumes, payment of accounts, planning of budgets, creation and maintaining projects, change of terms, responsible persons and also integration with 1C and Gmail.

The internal portal helps to adjust to support communication not only in office, but also to be in touch with remote workers, and in our company such there is a lot of. The portal – the module more functional, than corporate mail, communication of employees happens in real time that allows to resolve many small working issues. And what is important – creates uniform space of the company.

TAdviser: Dmitry Viktorovich, now through ELMA passes in your company the most part of a company performance what you can tell about an implementation stage?

Dmitry Borovskikh: The implementation stage, actually, is still not finished, some processes only get into gear, but I consider our scales (more than 1000 people in the organization) it quite normally. There is a moment of accustoming and adaptation from non-management employees, think that this most difficult. But it is a matter of time. People need to get used to estimate advantages of an innovation, everything became "in the old manner". And now, except acceleration of processes we have an opportunity to monitor them at any stage, everything became "transparent".

A system was estimated practically by all heads of departments as they received the broad picture of the events in a system and have an opportunity to keep track of efficiency. A lot of things depend on a human factor which, as we know, everything can complicate, and can facilitate.

TAdviser: Whether it is possible to speak about preliminary results of system operation of ELMA already today?

Dmitry Borovskikh: In digits to speak about results so far early, a system in the company works only a few months and implementation process is not complete. Results are so far what I already designated: acceleration of the movement of documentation and increase in level of communication. We will be able to see and estimate full-fledged results in 6-12 months. We did not do exact forecasts in digits for system operation, only set specific objectives. And already now it is possible to tell that a system lives and works with them.
