Situation

Activity of PJSC VCNG as the enterprises of production with the increased danger is strictly regulated. All production and economic processes are regulated by provisions and requirements which are enshrined in legal acts and also the local regulating documents (LRD) of the Company and Society.

Local regulating documents are developed, approved and affirm according to the procedures formalized in PJSC Rosneft. The system of normative ensuring business of PJSC Rosneft provides uniform methodological requirements to local regulating documents of the societies entering perimeter of PJSC Rosneft. LND PJSC VCNG are developed according to requirements of the legislation of the Russian Federation and also LND of the Company, taking into account specifics of productive and business activities.

As a result of integration TNK-BP and Rosneft in 2013 arose need for adaptation of business processes of PJSC VCNG and updating of LND by which these processes are regulated. Respectively, there was a need to adapt regulating documents in which these processes are described and enshrined and also to regulate processes, requirements to which were not formalized earlier. The activity of PJSC VCNG directed to reduction of LND in compliance with production business activities of the Society integrated into Rosneft leads to steady growth of LND fund.

The decision on the choice of the software product was made taking into account experience of PJSC VCNG with ERP systems, in particular SAP. Regarding management of the regulating documentation it is in the future going to face comparable amounts of data and growth of this information. It caused the choice of a product which will allow to work with the large volume of data and will provide, on the one hand, availability and transparency of information to employees, with another – its protection.

Problem definition

Initially the friendly interface, information processing rate and an opportunity to connect fields directly to use of this product were important for PJSC VCNG. Due to the feature of work: remoteness of fields, the continuous diagram - the efficiency of data transmission, finishing them timely to heads of structural divisions and production personnel on the field and systematization of documents, speed of work of a DB of LND are of great importance.

There are terms regulated by documents of Rosneft company which it is necessary to keep within when using LND. When developing the technical project these requirements were considered, a certain durability at problem definition was put. Therefore all terms of development, approval, the approval of regulating documents, acquaintance with documentation are put in a system. She traces them automatically and announces responsibles approach of control dates.

Results

Staff of PJSC VCNG at any time can open the current version of any regulating document by which are obliged to be guided in the professional activity on places. A system helps divisions to develop and update LND, and the portal is a full-fledged informant for personnel.

In general, the Docsvision platform allows to connect seamlessly results of work of different divisions as end-to-end business processes, to include new business processes in a single system of electronic document management. For example, in Docsvision lifecycle of administrative documents is already automated. This part of office-work was upgraded and organically connected with management of LND. All actions with LND: the development initiative, the schedule, commissioning and canceling of action of LND — support the relevant administrative documents. They automatically contact regulating documents, are stored in uniform base and are always available to users.

At present there takes place input of a management system of LND in commercial operation. At an initial stage it is going to cover 250 users. With attraction of a managing personnel of fields the portal will be used in daily work of 450 people.
