7 days, publishing house (ETLA (e-document flow))

The Seven Days publishing house, one of leaders in the Russian market of printed media started large-scale system implementation of electronic document management of ETLA.

Customer

The Seven Days publishing house is created in October, 1995. Today Seven Days is the publishing house entering ten the largest publishing houses of Russia publishing glossy magazines. Now it issues the weekly "Itogi", the Sem Dney TV-Programma weekly, the monthly "Karavan Istory", the magazine "A caravan of stories. Collection".

Task

Till 2013 at head office Publishing House Sem Dney Ltd document flow was partially automated by own forces of staff of IT department of publishing house. However the main volume of documents all also addressed in paper form. The high costs connected with such work made relevant a problem of implementation of complex EDMS.

System Selection

The choice was made from popular workflow systems of ETLA, BOSS-Referent, DocsVision, the Thesis. In an analysis result of functionality and scaling options the IT department and company management stopped on the system of the electronic document and management business of processes of ETLA.

The pacing factors which predetermined this choice:

• ETLA is under construction based on the flexible platform with effective business solutions that allows to configure easily EDMS under the purposes and tasks of the specific company.

• A system is integrated with accounting programs, messengers and other software.

• Thanks to a possibility of the organization of geographically distributed work, users of structural divisions will be able to interact among themselves and to work with the general documents and tasks.

Results of Implementation

Thanks to system implementation tasks of automation of organizational and administrative document flow (outgoing/incoming letters, orders, statements, memos) were solved; contracted work; to creation of archive of electronic documents. At a stage of the choice of the software product possibilities of development of the project regarding personnel document flow, integration with the accounting systems also made a reservation. Within a pilot project on automation business of processes regarding work of IT department, transport and legal departments of head office it was shown that the electronic document management system is convenient in use and has all necessary functionality for solving of tasks of the company.
