Prerequisites of the Project

Mezhregionalnaya raspredelitelnaya setevaya kompaniya Sibiri (JSC IDGC of Siberia), subsidiary of JSC IDGC Holding, performs transfer and electric power distribution in territories of the Republics of Altai, Buryatia, Tyva and Khakassia, the Altai, Transbaikal, Krasnoyarsk regions, the Kemerovo and Omsk regions. Branches – Altayenergo, Buryatenergo, "Gorno-Altaysk Electric Networks", Krasnoyarskenergo, Kuzbassenergo distribution zone, Omskenergo, Khakasenergo, Chitaenergo are a part of JSC IDGC of Siberia. JSC Tyvaenergo (subsidiary) is under control of JSC IDGC of Siberia. In branches 222 Region of the Electric Networks (REN), 40 production departments work.

Earlier document flow was conducted in an information system which did not meet all requirements of the organization. It was necessary to arrange work of employees and to increase quality of maintaining documentation.

Due to the high cost of operation and further development, the management the task of cost optimization on ensuring process of document flow at increase in its quality was set.

Project Progress

After market research of the existing systems on the best ratio "price/quality", company management "IDGC of Siberia" made the decision on acquisition and implementation of the new software product "1C: Document Flow 8" as its functionality completely corresponded to requirements of the enterprise. In the solution there are all necessary means for the organization of process of the automated approval of agreements and the subsequent storage, both agreements, and accompanying documents. "1C: Document Flow 8" allows to make work of users of an electronic document management system simple and convenient, at the same time providing online access to all necessary information taking into account access rights. This software product allows to work with any document types.

The company the First BIT (1C: Accounting and Trade) having successful experience of workflow automation at the enterprises of different specifics of activity became the partner in implementation and maintenance.

During implementation comparison with the previous system was carried out, consulting support is given to users, a part of instructions is developed for work with a system, interaction of closed joint stock company of 1C and "IDGC of Siberia" as a result of which there are arrangements about the reference excursions on the enterprise and other cooperation is organized. In total it is put into operation of 1300 jobs and the following functions are automated:

• accounting of the entering, outgoing and internal documents;
• storage of files, their collective editing and control of versions;
• the automated loading of documents from e-mail and from the scanner.

Result

As a result of implementation the staff of JSC IDGC of Siberia received the complete solution on automation of accounting and document storage, interaction of employees. There was an opportunity: storages of internal documents and files in folder structure taking into account access rights; keep account and registration of the entering and outgoing correspondence, performing automatic generation of end-to-end registration numbers by difficult rules. Considerably work of the staff of the enterprise who are actively working with texts of agreements and accompanying documents accelerated and became simpler.

A system is accepted by the customer in commercial operation. Now consulting support of employees continues.
