M-Files CRM is available at the price, powerful and, at the same time, a simple customer relationship management system (CRM) in use. Unlike other similar systems, M-Files does not require changes of business processes of the company. Users should not change an operation mode, usual for them, as the M-Files interface is completely integrated with the conductor of Windows and supports all Microsoft applications of Windows. Access to a system is possible also by means of any web browser or mobile devices based on iOS, Android or Windows Phone. Different processes on work with clients which you can automate on the flexible M-Files platform are included below:

Customer service – if a customer support happens in your company on a hot line or by e-mail, you can write each appeal of the client to M-Files CRM. Employees of a support service can instantly display the history of the previous correspondence with the client. Using the M-Files CRM system, employees of your support service can create a new event (the e-mail, a call, a meeting), to enter the corresponding tasks to the calendar or to add references to the documents related to the client.

Automation of sales – use of functionality of M-Files CRM applied in work with potential clients gives to sales department a powerful tool for the organization of effective activity. The staff of sales department can quickly find information on potential and current clients in M-Files CRM base and browse the history of the previous contacts, comments on responses of the client and what promotional materials were sent it earlier. You can also scan and store in M-Files the reference information about the potential and existing clients, necessary for the subsequent contacts.

Operating activities – it is possible, the biggest advantage of use of the complex and integrated into Windows system such as M-Files CRM, the convenience of information exchange between departments of the company is. As all documents related to clients are stored in one place with a possibility of quick full-text search, employees can quickly receive documents from other departments of the company even during the conversation with the client. The same works and in the opposite direction: the documents created in the course of customer interaction, for example commercial offers can be sent to other departments of the company where afterwards will become a basis for creation of agreements and accounts.

Business intelligence – in addition to history of customer relations, it is possible to store all information, necessary for the analysis, on clients, for example their territorial, industry or demographic characteristics in M-Files CRM. Thanks to an open database structure of M-Files, it is possible to set easily cross-references between data and to take the generalized answers to the interesting questions. CRM statistics received in M-Files is useful to measurement of efficiency of marketing campaigns, detection of the patterns regarding work with clients requiring improvement, etc.

Basic functions of a system

  • The M-Files CRM system is integrated into Windows conductor, all necessary functions are available in one window

  • Freely we set a set of fields of any information card in a system (the client, contact, a marketing campaign, the transaction, etc.)
  • The overview of information cards in the M-Files CRM system is available through dynamic folders which structure and enclosure is configured. In dynamic folders the updated information, depending on the filter installed to them is displayed
  • The search line is constantly displayed in an upper part of the screen. The M-Files CRM system is supported full-text search. Also search is possible in any reference book and a field of a card
  • Any entry in the M-Files CRM system can be opened for display of all objects connected with this record
  • The M-Files CRM system is integrated with Microsoft Outlook: electronic messages can be saved in a system directly from Outlook. During the preserving of the electronic message, contact and the client can be automatically determined by a system on the e-mail address. The entering electronic messages can automatically be loaded into the M-Files CRM system
  • A system allows to work offline: after transition to online information is updated on the server automatically
  • By each card or record it is possible to browse the history of its change
  • In the M-Files CRM system different automatic notifications are available
  • Access rights of users can be set to any information, can be established manually or automatically change depending on properties of information

Contact management and events

  • The M-Files CRM system allows to register information cards of clients and contacts (contact persons). Contacts can have a binding to clients

  • In a system there is a registration of cards of events (meetings, calls, business trips): to each event can be attached: client, project, contacts, documents, transactions and negotiation. Types of events can be added: depending on the selected type, a different set of fields for filling can be displayed
  • On each contact, the client, the project and other important corporate analytical signs it is possible to browse history of events. A set of the dynamic folders displaying grouping of events on signs can be complemented

Management of marketing campaigns

  • In the M-Files CRM system registration of cards of marketing campaigns is performed. Types of campaigns can be complemented

  • For registration of an event on a contact block within the marketing campaign it is enough to select contacts and to press the Event button. A system automatically includes all selected contacts in an event

  • Within the waged marketing campaign there is an opportunity to register responses from contacts. Viewing responses within the waged campaign through dynamic folders is possible

Task management

  • In the M-Files CRM system registration of tasks for employees with obligatory instructions of the contractor is possible
  • The appointed tasks can be browsed in the separate dynamic folder on contractors

  • A system automatically creates notification E-mail on tasks

Event management in the calendar

  • Events in a system (calls, meetings, negotiations, sending letters, etc.) can be displayed in the calendar by employees, types of events, meeting rooms and to other signs.

  • Events can be created in the interface of the calendar
  • Viewing the calendar is available by day, week or month. Each event can be visually displayed in the calendar

Management of transactions

  • In the M-Files CRM system registration of cards of potential transactions with clients is performed

  • Process of passing of the transaction is monitored: at change of a stage its status, percent of probability of its conclusion and the weighed amount of sale changes

Administration of a system

A system is easy for administration and allows the following actions which are not requiring programming:

  • Creation of users and groups
  • Support and change of structure of objects
  • Adding of new fields in cards
  • Setup of workflows
  • Automatic reservation of data
  • Archiving of data
  • Integration with other systems
  • Viewing event log

Web access and mobile access

  • Access to the web interface is possible from any browser. The web interface allows to browse information, to create events and any other information cards

Reporting and business intelligence (BI)

  • The module of the reporting M-Files allows to browse and analyze the statistical data and indicators connected with processes and documents in M-Files CRM system.
  • Functionality of this module includes:
  • Graphic visualization of communications between CRM system objects;
  • Creation of analytical reports and dashboards with key indicators on the basis of information in the CRM system;
  • Data mapping from external systems, e.g. ERP.
  • Reports and dashboards are displayed in the Windows Explorer interface, usual for users.
  • Access rights to reports are configured in the same way as access rights to other data in M-Files CRM.
  • Results of reports can be printed or saved as Excel, Microsoft Word or the PDF files.
  • The module of the reporting allows to analyze not only data from M-Files CRM, but also information from external systems, such as ERP and accounting programs.
  • The module of the reporting M-Files is based on Microsoft SQL Server Reporting Services technology.
