Grant Thornton (ProjectMate)

In September, 2009 in department of accounting services Grant Thornton the ProjectMate system intended for automation of the companies rendering professional services was successfully implemented.

System Selection

Sergey Kalinin, partner, Head of Department of accounting services Grant Thornton: "Before ProjectMate implementation we used independently developed information system, however she did not solve all assigned tasks. For example, the used time-sheets allowed to display loading of employees for the reporting period, but did not allow to plan time. Besides, in the existing system there were restrictions on reports generation and other inconveniences.

We needed the tool which would allow to analyze load of employees and efficiency of their work, to plan time, to automate the procedure of billing (since we have very large volume of the made-out bills), it is correct to estimate the cost of our services, to compare budget indicators – and all this to the smallest labor costs, in the unified information system. For us also the possibility of remote work in a system since our many specialists make business trips was important and work out of office. Respectively, we felt the need for the solution which would provide communication between all employees. In general, there was desire to improve a management system for work of all our department. We set all these tasks for the project of automation.

Selecting an information system, we looked at 7 different solutions, but they did not suit us for one reason or another. ProjectMate became an optimal system at the price and functionality for us.

Our choice was influenced in many respects that this system was developed by the Russian company which guarantees its support and development. An opportunity to purchase the software in lease was one more big advantage. We took advantage of this offer that allowed us to use all potential of a system without significant one-time investments".

Implementation

Sergey Kalinin, partner, Head of Department of accounting services Grant Thornton: "We performed implementation of ProjectMate by own forces, but Aviky gave us big support so this process was rather easy and short. Moreover, consultants of Avikom company held the impressive presentation for our employees and could inform them that a system will be the irreplaceable assistant in their work – will help to plan more accurately time, to represent, than they will be engaged in the short term, will allow not to undertake those obligations which they are not able to execute since they will have an evident picture of working time for 2-3 weeks ahead, will give an opportunity to tell clients real terms in which they can complete the specific work, and many other things".

Result

• Emergence of the tool allowing to look from the different parties at load of employees and to understand is how adequately distributed loading between project participants.
• Exit to higher level of detailing of reports that allows to give clients more exact information on the services rendered to them, providing them complete interpretation.
• Positive changes in customer relations.
• Understanding of cost value of own projects by the company.
