Vokhr of railway Russian Federation transport (Departmental protection of Russian Federation railway transport)

The Softline Consulting Services system integrator completed an implementation project of a system of an audio-and video conferencing based on Microsoft Office Communications Server 2007 for the federal state enterprise "Departmental Protection of Railway Transport of the Russian Federation" (FGP VO ZhDT of the Russian Federation). During the project consisting of two stages and lasting about four months for 20 regional offices of the enterprise for all Russia the system of an audio-and video conferencing was organized, the platform which allowed to increase efficiency of interaction of the working groups is put.

System Selection

For implementation of operating control behind activity of regional offices and adoptions of timely solutions the management of VO ZhDT of the Russian Federation needed regular carrying out conference calls with representatives of regions. The organization of internal meetings in Moscow not only took a lot of time, but also it was very expensive. For the correspondence meetings in which the deputy CEO (Moscow), heads of departments (Moscow) and regional managers (20 regions) participated at the enterprise the system of telephone conference communication in the separate, specially equipped negotiation was implemented. The management of the enterprise set the task of the organization of full-fledged meetings of heads for discussion of the current indicators of activity of regions without the need for physical presence in one place. The existing hardware solutions on the organization of audio-and video conferences did not satisfy the company for a number of reasons, including, and owing to high cost. For implementation of an assigned task the Microsoft Office Communications Server 2007 server software was selected.

The system of an audio-and video conferencing based on Microsoft Office Communications Server 2007 allows to cut down traveling expenses of the geographically distributed companies, time expenditure for the organization of the general meetings and also to provide employees with simple means of exchanging instant messages, file transfers, voices and video. The presence status which is displayed near a contact name in any of Microsoft Office applications shows whether the employee in a workplace and by what method it is more preferable to contact it is available.

Implementation

The project was executed by engineers of consulting division of Softline Consulting Services specializing in implementing solutions for corporate communications and passed in two stages: a pilot project – deployment of a test system for trial operation, the lasting one month, – and system deployment on corporate servers for commercial operation.

During a pilot project approbation of a system in actual practice for work of the central office and four regional is carried out. During further deployment all communication channels for transfer voice were tested and video flows, recommendations about their optimization are developed, and 20 regional offices with the subsequent adaptation of a system for needs of the enterprise are connected to the system of an audio-and video conferencing. At connection the instruction for the user was created and administrators in Moscow for further maintenance of a system are trained.
