The investigation department of the IC RF across the Udmurt Republic implements EDMS

On January 27, 2014 it became known of start in operation of AIK "SUPERVISION" in Investigation department across the Udmurt Republic. The project is implemented by specialists of Ronsi Ltd.

Project Tasks

The management of investigation department made the decision on implementation of modern EDMS, avtomatizirubshy office-work and the activity of investigating bodies considering specifics.

Before implementation of AIK "SUPERVISION" for document registration of SU SK used other documentary system which technical capabilities did not allow to fix document transfer between divisions and specific contractors, to make a linking of documents and to control the movement at any stage, to exchange office correspondence in electronic form.

Project Progress

The project is begun at the end of November. The customer designated a number of key tasks on which solution AIK "SUPERVISION" had to be focused:

• increase in processing speed of documents;
• automation of control of execution of documents and reduction of time for accomplishment of control functions;
• automation of formation of registers of document transfer;
• total failure from paper registers;
• simplification of analytical work regarding preparation of the final reporting under document flow and the analysis of execution of control documents.

Specialists of integrator carried out a complex of works on system deployment:

• inspection and analysis of document flow;
• installation of the application on the server and jobs, setup of a system, user training (group on systems capabilities and individual in workplaces).

During the project the main office work transactions are automated: registration of the entering, outgoing and internal documents, setting of documents for control, tracking and the movement of documents and their search.

Registration of all incoming documents and sending outgoing correspondence in investigation department is conducted on a centralized basis by the employee of department of reception of citizens and documentary providing. Except the staff of this department, all employees providing office-work in structural divisions of the office of investigation department became users of AIK "SUPERVISION".

For convenience of differentiation of functions and access to specific transactions at implementation of AIK "SUPERVISION" a "room" system is implemented – the office where the documents addressed to the specific head or in division of investigation department get is assigned to each employee having access to a system.

Project Results

The investigation department of Investigative Committee of the Russian Federation of the Udmurt Republic since December, 2013 conducts document flow using the automated information SUPERVISION complex (EOS Group developer). Within two weeks a system worked in the test mode, since the beginning of January AIK "SUPERVISION" functions in full in all workplaces of users.
