"The Ivanteyevka water utility" automates contractual department

On February 8, 2014 specialists of Ayton company announced project completion on automation of contractual department in Ivanteyevka Vodokanal Municipal unitary enterprise.

Project Tasks

Alexander Vovk, the director of Ivanteyevka Vodokanal Municipal Unitary Enterprise appealed to Ayton company - to automate the work connected with preparation of a large number of agreements.

Earlier at the enterprise there was the following system of work with agreements: samples of agreements were stored on computers of specialists of subscriber department that gave the mass of the inconvenience connected with storage of templates of agreements not in uniform base. For each subscriber it was necessary to make out the agreement separately. All data were entered in the agreement in manual, performed sending agreements also manually by e-mail individually to each subscriber. According to the staff of subscriber department, these transactions occupied huge amount of time and led to works involving all hands during preparation and sending agreements.

Project Progress

Specialists of Ayton company made the decision to create in the program of 1C of the Subscriber Department configuration, the module of work with agreements which would allow to create agreements and annexes to them for subscribers (legal entities and physical person) literally in several clicks and automatically sent them to subscribers. And also if necessary to perform group and personal printing of agreements.

Specialists created the mechanism which allows to create document templates (agreements, acts, applications) in 1C. Also in the project progress 10 templates of agreements and more than 70 annexes to agreements were added to the program, and an opportunity to edit the text of agreements and applications and to add new was also implemented. The mechanism on sending agreements by e-mail directly from the program of 1C is created.

Project Results

After project implementation all agreements to be in uniform base, data necessary for preparation of agreements automatically come from the program, and calculations (water consumptions, draining) necessary for applications are also automatically performed. Time for preparation and sending the agreement for one subscriber is about 20 seconds. Sending is performed automatically from program 1C.

Result of implementation of the mechanism - considerable reduction of time for preparation and sending agreements to subscribers.
