The project on creation of the automated control system for personnel based on the solution Alfa-HRMS in Voronezhstalmost Ltd (VSM) is successfully complete. The created information system allowed to bring personnel management processes to qualitatively new level due to creation of a common information space, ample functional and technological capabilities of the HRM solution.

Prior to the beginning of the project for automation of payroll and conducting personnel records at the enterprise the developments excluding a possibility of the automated data exchange between functional units were used. With respect thereto it was necessary to keep parallel account of data on personnel on each functional section, and to accountant officers - monthly manually to enter all information, necessary for payroll, manually. Such problems of personnel management as personnel records, accounting of personal cards of employees (T-2), accounting of a working life, maintaining personnel orders and orders on staff, maintaining the staff list were not automated. The total absence of business process automation of personnel management in workshops led to the fact that economists spent the main part of working time on preparation of orders, shop orders and orders and also on manual collection of data for reporting on the enterprise.

The project of creation of a personnel management system began at the end of 2006 with automation of personnel records and document flow, maintaining an organization structure of the enterprise, management of the staff list and other personnel processes.

Taking into account the new opportunities given to Alfa-HRMS the organization structure of the enterprise was processed - workshops were separated into sections, in the program more detailed staff list of the enterprise was developed. All personnel orders and orders were unified and automated, execution engines of managerial actions under orders are developed. In July, 2007 the stage of control automation by the personnel was completed.

The next stage included works on control automation working time and time keeping, maintaining in the program of intra shop document flow for staff, maintaining price-work dresses and transactions. Automation of payroll and formation of postings in the ledger became a logical conclusion of a stage.

Automation of payroll revealed need for rather extensive processing of the algorithms of accounting and allocation of costs operating at the enterprise for types of products and orders. In addition to the price-work salary by orders both all awards and surcharges of workers began to be distributed that significantly increased quality of management information about labor costs in cost value of products by orders

Due to the limited resources from the customer and the large volume of necessary works, setup of functional units of a stage and start they to trial operation were led consistently. In February, 2008 automatic maintaining time keeping and dresses, and in August, 2008 - the automated conducting intra shop document flow on staff was brought into continuous operation. Actually to the middle of 2008 in Voronezhstalmost Ltd the complete personnel management system was created. In January new, 2009, years the enterprise completely refused the outdated software and began to use Alfa-HRMS for calculation of price-work dresses, payroll and formation of postings for salary.

Today in total in the automated control system for personnel of the enterprise more than 80 users daily work.

Creation of a personnel management system based on the solution Alfa-HRMS allowed to conduct all personnel management processes in unified information environment, to increase efficiency of all services involved in these processes. Due to use of control functions and mechanisms of corrective actions such processes of personnel records as transfers and movements of employees (including intra shop), substitution of established posts, providing holidays, accounting of different types of an experience, etc. are considerably simplified.

The newly created automated control system for personnel of the enterprise based on the solution Alfa-HRMS fully provides integrity of data, momentariness of information input, differentiation of access rights, a possibility of data analysis and obtaining the reporting in different cuts.

In plans of the enterprise for the near-term outlook - accumulation of functionality in such key directions as:

  • communication of a personnel management system with a management subsystem production regarding maintaining dresses for works, data acquisition on workers, calculation of planned and actual labor input;
  • communication setup components of control of motor transport with a personnel management system regarding maintaining data on drivers, accounting and calculation of waybills;
  • automation of certification of jobs;
  • setup of integration with the system of automatic access control on the enterprise for automatic accounting of the fulfilled working time.

Available production areas of the plant, the technology, machine and crane equipment allow to make up to 45000 tons of constructions a year.
