2018: Results of implementation of a project management information system

On September 21, 2018 the Advanta Consulting company announced results of implementation of a project management information system of Advant in Teplolyuks-Tyumen company.

Project Results:

  • Based on the Advanta platform the management system for engineering projects is implemented.
  • Electronic document management is implemented, account of correspondence is kept.
  • In a system control of instructions, scheduling, control of projects is exercised.

"In 2013 made the decision to implement the system of project management. Began with small functionality, began to master gradually a system, to expand knowledge, to work more effectively and for September, 2018 achieved good results. To all employees began to approve more conveniently and more simply documents between departments, heads of the directions and the head of the company. Earlier the CEO had queues for review of this or that task or a question. Thanks to a system he is not tied to a workplace, quickly approves all necessary documents, delegates tasks, controls execution. Decision making process in any sphere and document flow accelerated. All project teams freely communicate among themselves through discussions and approvals. In a system it is always possible to keep track of the status of accomplishment of tasks and the current loading of resources. Also project planning and operational preparation of the reporting perfectly helps with our project business".

For September, 2018 in a system more than 50 project works, more than 40 installation and construction works, more than 50 production tasks for workshop of assembly are monitored. Daily tasks of all departments are made by more than 50, daily instructions fluctuate from 10 to 30 instructions, apart from tasks and projects. In a system more than 100 users, a half of whom constantly are on objects of building and in remote offices of the company, work.

2013: Implementation of a project management information system

The Teplolyuks-Tyumen company is engaged in delivery, planning and installation of electric equipment. The company management at some point realized that it needs the uniform tool for maintaining projects. Each of departments of the company "lived life", using own planning tools of projects and resources that complicated the general data processing.

Having made the decision on project management system implementation, the company management treated the choice very carefully: all project management information systems (PMIS) which are almost presented at the market were considered. After comparison of their characteristics a final choice was made for benefit of the Advanta system. The clear and user-friendly interface, easy training in work in a system and a possibility of independent setup of functionality under specific needs of the company – became key selection terms.

From the very beginning of system implementation the company conducts active work in Advanta. For the third day the secretariat without training began to work with correspondence in a system, and employees of a message document flow. A week later all current projects of Teplolyuks-Tyumen company were already kept by means of the Advanta system.

Employees at once estimated speed of processing of working documents through a system. If earlier approval took days and weeks, then now the Advanta system allows to make it often in several minutes even if approving is at a meeting. Also the possibility of remote work with a system as employees and company management often are in business trips was appreciated. Now Advanta allows them to be constantly in touch, without coming off workflow.

On this project the step-by-step implementation method of a project management system of Advant was selected. At the first stage made initial setup of the simplest functionality and started it in work, and more composite functions were started further. At the moment are used by the company in the Advanta system:

scheduling and control of projects, intra project communications, accounting of the materials used in projects, electronic document management, accounting of correspondence, control of instructions.

In Teplolyuks-Tyumen over 350 people, from them about 300 – far off work. At the same time in the company about 10 large projects are kept. They are broken into stages which are supervised by different employees. With system implementation of management of Advant the management received the convenient tool of the reporting: at any time it is possible to trace at what stage of implementation there is a project and degree of load of personnel. In Advanta weekly filling with employees of the magazine of the performed works is configured. Control and the operational reporting not only allowed to see any changes in the project progress, but also helped to improve planning of further activity of the company.

"Though it is still implemented only 1/5 from all functions of the Advanta system necessary for us, it already considerably simplified our work" - Ogannes Hondkaryan, the head of department of design of an ACS of Teplolyuks-Tyumen company told.

After project implementation of implementation of the main functionality which lasted 3 weeks it was decided to take a break. Now the company masters the implemented processes, connects remote divisions to a system. Further it is going to implement integration of a project management system with 1C which will allow to trace quickly a financial position of projects in Advanta and start of the module CRM for reflection of a full stroke of work with clients.
