Implementation of a corporate system of electronic document management in JSC Voskresensk Mineral Fertilizers

Within implementation of EDMS DIRECTUM the following business processes were designed, developed and put into operation:

• Consideration of incoming correspondence and performance of resolutions of heads;
• Approval and sending outgoing correspondence;
• Approval and execution of memos;
• Signing and performance of orders and orders;
• Registration and performance of minutes of meetings;
• Signing and registration of powers of attorney of the CEO;
• Universal process of approval of other document types;
• Control of execution of instructions;
• Work with contractual documents – from creation of the draft document before signing of the contract.

The automatic movement of documents within the automated processes – a system itself "solves" a coma and when the document should arrive – allowed to optimize working time of employees. Besides, there was a possibility of quick access to information on a current status of the document and a possibility of operational influence on its movement. At the same time reliability of approval of documents increased – a system will not allow to post bypassing the regulated list of approving.
Simplification of control and automatic tracking of terms of accomplishment of instructions at the different levels of the management was decisive factor in increase in performing discipline. Achievement of these results allowed the company to reduce costs of resources for the solution of infrastructure problems and to focus more on the solution of direct tasks of business.
