JSB JSC Almazergienbank is created in 1993. The territorial network of Bank includes 13 additional offices in the Sakha (Yakutia) Republic, 5 operational offices in Yakutsk, two representations in the federal cities today – Moscow and St. Petersburg, operational office in Khabarovsk.

Almazergienbank services over 15 thousand of corporate and 350 thousand private clients and takes positions of one of the largest universal banks in the market of banking services of Yakutia.

Situation:

To system implementation of TEZIS in Bank since 2008 EDMS Case in which the limited circle of employees worked, generally – heads of divisions, departments and the management of Bank was used. All administrative documents (orders, orders, etc.) were published on the internal portal.

In 2013 the Management of Bank got up before the choice – to update and scale the old workflow system or to purchase the new, modern solution for business process optimization in all bank branches. A choice for benefit of the second option was as a result made, and search of a suitable system from presented at the market began. Choice justification:

Selection process of an optimal solution for implementation at head office, operational offices and bank branches took several months. The Haulmont company held the system presentation at head office of Bank and quickly reacted to all questions arising in selection process of the solution.

On the basis of the analysis of the solutions presented at the market the THESIS system was selected. It was important to customer to begin to work in a system as soon as possible therefore the option of implementation of standard functionality of ESM THESIS with a possibility of further development under requirements of employees of the bank was selected.

"Volumes of document flow of Almazergienbank required a fault-free, powerful and convenient management system. We needed a system for document flow optimization, and also for effectively control and management of all business processes of bank. Several months we selected the supplier, as a result our choice fell on ESM THESIS", – the vice chairman of the board of JSB JSC Almazergienbank Anatoly Tabunanov comments.

The main objectives of an implementation project of the THESIS system were:

1. The organization of registration of the entering and outgoing correspondence;

2. Preparation, approval and approval of internal regulating documents of Bank;

3. Preparation, approval and adoption of agreements;

4. Control of performing discipline;

5. Increase in transparency of business processes and efficiency of divisions of Bank, due to reduction of paper document flow;

6. Process automation of collection of information for preparation of the reporting.

Project Implementation:

Project implementation of system implementation of TEZIS took place in three stages.

At the first stage, in February, 2014 specialists of developer company conducted preproject examination of the main business processes in the territory of the Customer. During it the processes of setting and execution of tasks fixed in Bank, registration of correspondence and work with documents of bank were studied.

According to the results of the first stage the functional specification in which implementation of the main business processes of the Customer by standard means of the THESIS system, the forthcoming settings of a system, according to user requirements, and the mechanism of migration of documents was described was prepared.

At the second stage which began in March, 2014 the THESIS system was customized and prepared for operation by project team of Haulmont and also test loadings of documents from old EDMS were carried out.

During the third stage (April-May, 2014) about 60 employees of the bank were trained to work in a system. All data from old EDMS which collected for the period its existence in Bank were loaded into it – as a result more than 100,000 cards of documents with investments in the form of the scanned copies were transferred to the THESIS ESM-system. The management of Bank prepared the order on transfer of a system in experienced, and then - in commercial operation. During implementation the staff of Haulmont company quickly answered questions of the client, held internal and remote consultations.

Project Result:

As a result of system implementation of TEZIS in Bank the discipline of execution of instructions, control of the entering and outgoing documents increased, preparation and approval of agreements became more transparent, the unified register of the agreements which are subject to approval was created. Now about 600 incoming documents and as much outgoing are monthly entered into the system, by the beginning of June, 2014 access to a system was got by 611 users.

"Today in Almazergienbank the THESIS system went through all test stages and is completely put into commercial operation. I want to note that input of EDMS THESIS in Almazergienbank not only increases efficiency of activity of our organization, but also that is very important, allows employees to get the most valuable experience and practice of work in new conditions — in the conditions of global electronic document management", – the vice chairman of the board of JSB JSC Almazergienbank Anatoly Tabunanov comments.

Together with a system the module of stream recognition and full-text search according to electronic documents based on ABBYY Recognition Server was also implemented.

Project perspectives:

Now in a system key business processes for work of bank are built, but the project will develop towards automation of additional business processes and integration of ESM THESIS into a unified environment with other systems of Almazergienbank.

In particular, integration of a system with the system of the description and a regulation of business processes of BusinessStudio is planned that will allow to import the created design of business process to the THESIS system.

Also in the next plans there is an integration with "1C: Payroll and HR Management" for complex automation of personnel records and payroll and synchronization of data with the THESIS system.

Afterwards work of legal department, in particular, work with applications from clients of bank will be automated to make process of their consideration more managed and transparent.

Any other offers on modification of a system and its integration into external applications which will arise at the Customer on the project progress will be implemented by means of the THESIS system.
