Project:

System implementation of DIRECTUM in JSC Slavyanka company

Project Objective:

Implement an electronic document management system for the purpose of improvement of business processes of the company.

Features of implementation:

  • Security of information by differentiation of access rights since earlier documents of head office could become property of any branch of the company;

  • Integration into 1C: Payroll and HR Management at the level of reference books.

Project Results:

  • Process automation of work with entering/proceeding and contract management in parent organization and all branches of holding is carried out;
  • Integration between DIRECTUM and 1S of ZUP and automatic binding of data on the users loaded from the Active Directory with the reference book Workers of the DIRECTUM system that allowed to exclude duplication and errors is implemented, having replaced manual entry of data with automatic synchronization between systems.

Project History

In 2013 the management of JSC Slavyanka met certain difficulties - the existing Electronic document management system ceased to meet the requirements of business, information contained a lot of in a system of the duplicated data, processes were complicated by a large number of daily transactions and took place not optimum. At the end of 2013 the tender for system implementation of DIRECTUM which was won by TANAIS company was announced and in the shortest possible time began the project.
Here what is told on project deliverables by Palagin Andrey Anatolyevich, the deputy CEO for information technologies:
-integration of the DIRECTUM and 1S: ZUP system became One of priority tasks. As reference books Users, Workers, Persons, Divisions, our organizations were filled out in EDMS in the manual mode earlier, data on organizational and staff structure of such large organization were not always true. It was necessary to configure automatic synchronization of data from 1C: Payroll and HR Management in DIRECTUM and automatic binding of data on the users loaded from the Active Directory with the reference book Workers of the DIRECTUM system. Now in a system there is only up-to-date information on users and workers that excludes during the work of business processes emergence of errors at appointment of contractors. It should be noted that Salary and Personnel management existence of several tens distributed bases 1C on number of divisions of JSC Slavyanka was additional complexity at work on integration from 1C. Therefore when working on integration it was necessary to consider possible collisions and to provide options of their permission what specialists of TANAIS successfully coped with.''

As a result of implementation of the project system implementation of DIRECTUM in JSC Slavyanka company:

  • Activity of employees of Office and assistants to heads came down to the minimum quantity of operations on processing of correspondence and sending it for consideration and execution of instructions. What significantly accelerates process of delivery of information to the final contractor and accomplishment of an assigned task. Process of removal of order from control became simpler. Earlier it became the staff of control analysis department manually.
  • Contractual processes became more transparent, there was an opportunity to carry out analytics by the number of the signed agreements by the form to activity and other criteria; control payments on already signed agreements and supplementary agreements that allows to avoid overpayments; plan the budget of the organization for future periods.

On February 28 the DIRECTUM system in JSC Slavyanka is successfully put into commercial operation and now develops.

Maintenance

Since system launch in commercial operation the TANAIS company successfully accompanies the implemented solution, providing 1, 2 and 3 support line of users.
