The Special Communications and Information Service of the FSO upgraded EDMS

On July 7, 2014 the Digital Design company announced the beginning of project implementation on development of a system of preparation of information and analytical materials on the basis of technologies of electronic document management for the benefit of Management of information systems of Special Communications and Information Service of the Federal Protective Service of the Russian Federation (penal correction system of Special Communications and Information Service of the Federal Protective Service of the Russian Federation).

On December 16 the same year the press service of the company announced project completion.

Project Progress

The project of a system is created and implementation is carried out to penal correction system of Special Communications and Information Service of the Federal Protective Service of the Russian Federation in 2011. During its use at the customer the need for expansion of functionality of a system was created: completion of internal regulations was resulted by need for ensuring automation of reconciliation procedures and document handling, for strictly developed routes. Besides, the customer needed to add a feature for input of additional participants of approval in a system and to automate process of control of performing discipline on assigned tasks and instructions with removal of the corresponding reports on their end.

For determination of integrator held a competition according to the results of which the right to execute the project for penal correction system of Special Communications and Information Service of the Federal Protective Service of the Russian Federation was acquired by Digital Design company.

Within the project specialists of integrator made the decision - to use the product "Standard Process of Approval" for Docsvision allowing to achieve administration setup simplification.

"Use "Of standard process of approval" will provide to the customer a possibility of replication and expansion of business processes without involvement of third-party developers" — Galina Mayorova, the manager with corporate clients of Digital Design told.

A system automated a number of management processes of department, including – creations of operational instructions by preparation of information and analytical materials with indication of the text of order, the executive in charge and collaborators, completion date and also the optional controlling person.

In a project deliverable the functions allowing to browse both the list of operational instructions on execution of documents and the parameters characterizing passing of process of execution and control of order were implemented. Besides, search of instructions in the contractor, completion date or the status became possible. As note in penal correction system of Special Communications and Information Service of the Federal Protective Service of the Russian Federation, the implemented project allowed to increase the speed of execution of instructions and to make process more transparent.

A number of additional options appeared also at the contractor of instructions.

As Galina Mayorova reported: "The new functionality of a system allows the contractor to note the fact of taking of order in work, to create the interim statement on its execution and also to fix the fact of completion of work on it, in other words – the execution fact. At the same time the contractor can attach the report to order, or create the text description of the performance report".
