The Eliseus network transfers suppliers to electronic document management

On July 22, 2014 the SKB Kontur company announced transfer of a half of suppliers of retail chain stores Elisey to electronic document management.

As a part of the Ekaterinburg retail chain stores Elisey: two cafes, 24 supermarkets, one epicure and two culinary specialist market. A day one shop fulfills on average 50-60 deliveries, to suppliers about 1.3 thousand orders daily are sent. Within a year the number of electronic invoices reaches half a million.

All documents need to be processed, stored and systematized. A few years ago for economy of temporary, labor and financial resources, an exception of errors at manual entry of information, the company management made the decision on development and deployment of own automated system on formation of orders. After the first positive results of its implementation the organization passed to electronic exchange of EDI messages. Suppliers quickly receive messages about order confirmation, data on discrepancies and confirmations on delivery.

Project Results

"Operating control over possible deviations in passing of the order — undoubted plus. At the traditional system of the order (by phone or e-mail) practically till the last moment there is no information on what goods will come to shops actually. Also there are no operational data on a delay in delivery. Application of EDI removes this problem and simplifies process of involvement of suppliers to responsibility for violations of an order in the merchandising scraper" — Olga Eshkunova, the commercial director of the CU Elisey told.

Exchange of EDI messages with suppliers of retail chain stores already at the first stage (on goods of long storage) allowed to receive a monthly gain of volume of a gross revenue for 15%. System implementation of electronic document management with external partners became the next step. To provide to the suppliers freedom of choice, the CU Elisey began to cooperate with several operators of e-document flow at once, including with SKB Kontur.

"Now the information system of the supplier directly communicates with an information system of the CU Elisey. There is an exchange of the structured documents in a supply channel without special participation of operators. But, to complete delivery, it is necessary to process legally significant documents. For this purpose in a system the software solution for exchange of electronic legally significant documents (agreements, invoices, delivery and acceptance certificates, laid on TORG-12) is integrated.
