Neftekamskvodokanal implements EDMS

On August 11, 2014 the company Medialux announced end of the first stage of implementation electronic document management systems in Neftekamskvodokanal Municipal Unitary Enterprise. As a software package of management of documents it is used EDMS "CASE".

Project Tasks

Before nobody automated work with documents at the enterprise. The traditional scheme of document flow applied in Neftekamskvodokanal Municipal Unitary Enterprise did not answer relevant problems of an enterprise management system. A main objective of the project - gradual transfer of work with documents with paper in an electronic form that will significantly reduce time of processing and passing of documents.

Within the project the customer set the key tasks:

• Automation of registration of correspondence coming as in paper form, and by e-mail.
• Transfer to the new level of control of performing discipline (due to registration in EDMS of all orders of the top management and automation of control procedures).
• Formation of report forms means of EDMS for further use by their management as base for acceptance of management decisions.
• Decrease in time expenditure on routine procedures of document retrieval and instructions.
• Automation of formation of magazines of registration of correspondence and leaving from paper registration.

Project Progress

Originally specialists of Medialux LLC carried out the analysis of structure and volume of document flow of the enterprise. The scheme of the movement of documents in the organization and interaction methods with partners is inspected.

On the basis of data retrieveds the software setup on structure of the organization and feature of document flow is made. The customized system is installed on the server hardware of the customer, client workstations are connected.

Project Results

All tasks are solved within the first stage of the project.

The works in the project are completed within a month. Specialists of the customer completed a training course in work with a system. During training "thin" setup of a system to requirements of specific specialists was made. Employees Neftekamskvodokanal of Municipal Unitary Enterprise get advice on work with EDMS "CASE" in the remote mode, in case of need.

Transition from paper document registration and instructions to electronic became a result of the first stage of automation. Further expansion of use of a system at the enterprise for full electronic interaction between divisions of management personnel of municipal unitary enterprise is planned. For increase in efficiency of information exchange options of use of a system for work with territorially remote divisions are considered.
