On August 20, 2014 it became known of an implementation project EDMS "CASE" of century city administration of Megion. The implementation project was implemented by the company "Program-service".
Project Tasks
The municipality selected the mixed system of office-work. Incoming documents and letters signed by the mayor are processed on a centralized basis in office, at the same time outgoing letters signed by deputy heads are registered by specialists of receptions. The letters arriving from the Government of KhMAO – Yugra, are registered via e-mail (with the passport of unloading from EDMS "DELO" of the Government). Data recording of letters through Comecon is configured and tested.
Project Progress
The first licenses EDMS "CASE" were purchased in 2011. The project is begun with automation of section of document registration in office, by August 20, 2014 with the help EDMS "CASE" document management with connection of all divisions of administration is organized.
In 2014 the municipality purchased the Archiving system intended for automation of work of archive.
At all stages of development of EDMS specialists of Program-service company performed works on installation, a software setup and user training.
Project Results
All bodies of city administration are connected to a system (according to one license for each department). At the same time a part of users works in EDMS through the subsystem "DELO-Web". Letters with the resolution of the head are sent on execution in electronic form. In a system control of execution on all document groups is implemented. The option "Notification and Notification" allows contractors to obtain information on the status of documents and approach of control terms in time.
The options "Line Scanning", "Barcode Printing", "Search in a Barcode" purchased by administration of Megion allow to transfer in large quantities documents to an electronic form with attachment to registration cards of electronic images of documents. The options "Electronic Signature and Enciphering" and "Server of Verification of the EDS" allow to implement legally significant electronic document management. Besides, the customer purchases subsystems "A mobile office" (for remote work out of office using mobile devices) and "the automated workplace of the Head" (the customized mobile application focused mainly on heads). All options are actively used.
In administration means EDMS "CASE" automate work of department of work with citizens' appeals. In a system magazines of oral and written acceptance are kept, the magazine of making an appointment, a card of citizens' appeals is kept. Resolutions of heads on addresses and reports on results of their consideration are also brought century EDMS "CASE". Using the module of report forms statistics on addresses and the analytical reporting forms.
